This position provides administrative support to the two Associate University Librarians (AULs) responsible for the two major areas of the Library: Collections & Digital Services (CDS) and Public Services (PS) as well as to the three Managers in those areas: the Information Systems Manager, Public Services Manager, and the Collections Manager. The Administrative Assistant also works closely with the Library’s administrative team including the University Librarian’s Administrative Assistant, the Chair’s Administrative Assistant, and other administrative positions as needed. Core responsibilities include coordinating administrative details and communications including scheduling, meeting coordination, and assisting with communication between units, across the Library, and within the University.
Provides consistent flow of information to AULs, Managers, University Librarian, staff, and faculty. Coordinates and oversees logistics and scheduling of meetings and events by taking and transcribing minutes, compiling lists of items for action or follow-up, and assisting in setting agendas and compiling and distributing meeting packages. Produces, formats, and distributes a variety of written reports, documents, and correspondence from raw data, rough drafts and verbal discussions. Organizes and maintains print and electronic documents and files related to the work of the CDS and PS units, including contracts for licensed electronic products. Supports staff hiring activities including candidate liaison, coordinating meeting and interview schedules, and assisting with document preparation as needed and appropriate. Gathers and maintains statistics and data as directed by AULs to assist with internal evidence-based decision making. Assists and collaborates with the Operations Officer to ensure timeliness, accuracy and completeness of financial documents and information and prepares expense reports as needed with a focus on accuracy and timeliness and prepares expense reports with a focus on accuracy and timeliness. Responds to and redirects enquiries received via telephone, e-mail, and in person; provides backup support for office reception as needed.
