JOB PURPOSE: To provide secretarial and administrative duties to help facilitate the smooth handling of all company and client matters. Being an adaptable team player and able to multi-task are essential. Acting in a confident, professional, and responsible manner with compassion towards the practice’s clients. Confidentiality and punctuality are also essential.
RESPONSIBLE TO: Office Manager and Directors
HOURS OF WORK: Depending on the candidate, 15 hours per week. Flexible hours by arrangement. Some evenings and weekend hours maybe required.
PROBATION: 3 months
HOLIDAY: 25 days pro rata, plus bank holidays pro rata
SALARY: £15.00ph depending on experience
RESPONSIBILITIES: To meet the details within the Person Specification
To have a good working knowledge of general administration skills, excel, Microsoft office, systems and organisation
To be able to copy type to a high standard and meet the typing needs of the Directors or the Company team members
To be able to maintain good quality records and client information on a company server / Qunote system
To have a calm and positive attitude
To ensure the confidentiality and data protection of all clients’ information and data at all times
To support the company auditing processes and actions arising
To support financial systems and client ordering.
To attend and participate in appropriate training or team meetings as and when required.
To have high level skills with IT, online data storage systems such as OneDrive, Microsoft office, excel and outlook, whatsapp or signal, social media and Zoom platforms.
INITIAL KEYTASKS To support the Directors and Office Manager with all aspects of their role with the administration needs. Your role will involve ensuring that all documents and correspondence relating to all matters are processed and managed within the Company’s case management system in an accurate timely manner as directed by the directors or line manager, whilst maintaining communication with the team, clients via email, telephone and potentially in person. Tasks will include conducting typing, taking meeting minutes, storage of information and data inputting, maintaining systems the company has employed to complete audits, file opening and closures, communicating with potential, new and existing team members and clients. Generation, completion and monitoring of excel budgets, financial systems and billing and any general department admin.
OTHER TASKS To bring to the attention of line manager, immediately, any problems that might arise
To meet regularly with the executive administrator, to attend staff / directors’ meetings.
To assist the administrator in the overall running of the company.
