Responsibilities:

MaxLinear is seeking a service-focused, motivated and friendly Administrative Assistant to join our Munich, Germany design center team. The ideal candidate will thrive in a multi-cultural, professional but business casual environment where responsiveness, strong follow through and dedication are the norm. In this role, you will be responsible for:

  • Providing administrative support to all functions on the site
  • Manage purchases for any supply of the site: admin or engineering ones, launching the required approvals and once approved follow up the whole purchasing process until the reception of the goods/services including export and import documentation for shipments
  • Document shipping for export control
  • Preparation of packages for deliveries
  • Reception attendance and visitors preparation
  • Set up meetings and manage Outlook calendar invites
  • Assist with booking travel and coordination of visitor arrival logistics
  • Maintaining facilities in good shape, coordinating any maintenance needs and follow up any incidences and supervising the cleaning service
  • Setting up lunch as needed for meetings and training
  • Administrative support for document creation and distribution
  • Manage inbound and outbound mailings and packages

Supporting local and regional HR management on the following:

  • Coordinate employee events with HR/Site Manager including global meetings
  • Set up of conference rooms for meetings, training and candidate interviews
  • Monitor candidate interview process to ensure they run smoothly
  • New hire set-up including creating and labeling folders, desk set-ups, new hire kits and access keys
  • Support the welcome process for the new-hires on their first day
  • Update HR databases for new hires, holiday time, and sick leaves
  • Maintain work time accounting system
  • Assist in coordinating employee events and other special activities
  • Support EHS activities

Qualifications:

  • Results oriented, very organized, focused on follow up things until they are closed
  • Strong customer focus with the ability to appropriately manage expectations
  • Solid MS Office skills including Outlook, Excel & Word required
  • Bilingual in German with strong English verbal and written skills
  • Ability to respond to urgent requests, to be flexible, and to meet deadlines
  • Ability to work well with a range of personalities is important
  • Good skills on negotiation with vendors is a plus
  • High school Diploma + 3 year of experience; Bachelor’s degree preferred
