  • 2-3 years minimum experience as an administrative assistant or executive assistant
  • The successful candidate will possess the skills to complete complex tasks and projects quickly with little to no guidance, react with appropriate urgency to situations which require a quick turnaround, be able to take effective action without having to know the complete picture, and efficiently and proactively solve difficult or complex problems that affect people within the department or other related groups
  • Strong mathematical and computing skills
  • Strong written and verbal communication skills
  • Accuracy and attention to detail is a must
  • Must be able to self-organize workloads and manage all deadlines

  • Prioritize and assist with a variety of daily tasks and responsibilities in support of the CEO and marketing team in a quickly-changing, and fast-paced office environment
  • Collaborate with the CEO to assist with and execute time-sensitive special projects for senior management and Board of Directors
  • Manage confidential and sensitive information with utmost diplomacy and professionalism
  • Assist in planning of trade show and virtual events, including coordination of timing and logistics, travel, catering, and technical support
  • Schedule pertinent meetings, calls, and events for the CEO and marketing department
  • Assist with drafting and distribution of company-wide communications on behalf of the CEO
  • Coordinates projects with outside vendors (such as design firms, printers, hotels) and manages those day-to-day relationships
  • Prepares and orders promotional material; manages inventory
  • Manage and submit expense reports in a timely manner
  • Plans, coordinates, and executes logistics for company meetings and events
  • Prepares highest-quality documents and presentations with direction from the CEO and/or marketing team
  • Screens and coordinates phone calls, letters, and visitors for the CEO
  • Coordinates travel arrangements as needed with and without the company’s outside travel agency
  • Support for other selected projects, as needed
  • Performance requires physical attendance
  • Other duties as assigned
