ABOUT THIS ROLE

The Administrative Associate carries on Medical Unit specific routines duties that require a general understanding of the operational aspects (i.e.: promotional activities support from an administrative perspective).

WHAT YOU’LL DO

Autonomous administrative and documentary management of BU processes. Monitoring and management of Business Unit budget. Maintains accurate records of data, information and documentation.
Acts as a competent proactive and reliable support to Manager’s daily activities:
-
- Is the Director/Department’s first point of contact with people from both inside and outside the organization
- Produces high quality documents, briefing papers, spreadsheets, charts, tables, graphs, power point and reports
- Carries out background research and presents findings to the Director/Department.
- Organizes inter-functional and external meetings
- Completes expense forms and maintains accurate records
- Maintains accurate budget files
- Manages Purchase Order Management in compliance with purchasing policy.
Manages contracts and documents of the TO projects (supports the contracts drafting, checks the approval flow according to the Compliance requirements, archives and manages documents of different projects). He/she is owner of ad hoc projects.
Contributes to Company alignment to national law requirements and Int/Corp procedures.

Provides all-around high quality administrative support to the manager:

  • Organizes manager’s travels
  • Organizes inter-functional and external meetings and events
  • Manages and maintains electronic diaries
  • Establishes and maintains efficient office systems, e.g. correspondence management, filing, etc.
  • Liaises with clients, suppliers and other staff
  • Liaises and co-ordinates with other administration staff across Europe.

Associate Job Duties:

  • Support to Advisory Board
  • Request Administrator for Grant
  • Support to the medical director for drafting/reviewing local procedures (SOP)

Support in operational management (e.g., due diligence and tracking of milestones) of Grants and IIR (independent clinical studies)
