FirstService Financial / FS Insurance Brokers is in search of an Assistant Coordinator (4 Months Temp) to join our Risk Management department in Vancouver, British Columbia. The successful candidate will be instrumental in supporting the current team through the administration of standard operating procedures. This position requires having 1-4 years of experience in a professional administrative role. This position will be located in Vancouver, British Columbia, and may be eligible for a hybrid position.
Primary Responsibilities: Reporting to the Insurance Manager, the Assistant Coordinator is passionate about providing service and will be a resource for Strata Managers, Council Members, and Owners. The Assistant Coordinator will be largely responsible for maintaining and updating various databases for the collection, analysis, and reporting of insurance information. It is the Assistant Insurance Coordinator’s responsibility to minimize risk for both FirstService Residential and its managed clients through these job functions. Duties may be subject to change based on the manager’s guidance and the team’s workload.

EXPERIENCE & EDUCATION REQUIREMENTS:

  • Bachelor’s Degree preferred or equivalent related experience
  • Experience in Property & Casualty Insurance or experience in Property Management a plus
  • Demonstrates working knowledge of Microsoft Office Suite
  • Experience working in a fast-paced environment
  • Demonstrated experience in an administrative role

OTHER REQUIREMENTS:

  • Must be able to work on more than one assignment at a time with frequent interruptions, changes and delays. Must be able to remain focused and work effectively, efficiently, and cheerfully under such circumstances.
  • The role includes communicating with various stakeholders. Excellent interpersonal skills are critical to success in this role, including outstanding verbal and written communication skills.
  • Must be able to work effectively an environment which may be stressful due to adversarial situations resulting from the proper performance of duties.

Responsibilities:

  • Obtain pertinent pre-renewal information such as appraisals, loss runs, and details on upgrades (e.g., roof, plumbing) from applicable stakeholders
  • Communicate pre-renewal information as required to Strata Managers
  • Prompt response to renewal and insurance related queries from Strata Managers and Insurance Brokers
  • Ensure that established service and quality standards are met; strive to continually exceed those standards.
  • Maintain and update various databases for the collection, analysis and reporting of insurance information
  • Assist with special projects as requested
  • Comply with all policies, procedures and regulations
