Position Summary
This position will work closely with Car Specialists, Administration, and Operations and will play a key role in our business in the creation and development of our client services. You will collaborate with multiple people within the organization and outside to ensure accuracy and proper management of each client transaction. The ideal candidate for this position is proactive, organized, professional, responsible, and conscientious.

Responsibilities

  • Provide exceptional customer service to RM Sotheby’s clientele
  • Work directly with assigned sales representatives to provide customer service to clients registering, consigning and buying at all RM Sotheby’s auctions, globally. This entails:
  • Helping to manage pre-sale outreach
  • Inputting pre-sale consignment and lot inquiries into the company’s CRM system
  • Inputting catalog requests, bidder registrations, seat requests, and cocktail RSVPs into the company’s CRM system
  • Sending and collecting consignment packages, titles, and marketing fees for auction consignments and inputting into the company’s CRM system
  • Helping to manage post-sale issues from both buying and selling clients
  • Assisting the Administration team with post-sale settlement
  • Acting as a point of contact to clients within the private treaty sector of the business
  • Working with the Development team to help plan upcoming client visits and event attendance
  • Act in a lead capacity for designated auctions for the Client Services team, which could include the following responsibilities:
  • Managing all incoming bidder registrations and creating bidder packages in advance of the auction
  • Maintaining guest lists, tour and event schedules, seating charts, and internal auction factsheets
  • Managing host hotel blocks and liaising with the client team to confirm reservations
  • Working with the Operations team to manage onsite client experience
  • Administrating data for all incoming consignments in the company CRM
  • Creating car consignment files, assessing titles, proofing catalogs pre-sale
  • Reassigning titles (as necessary), sending payments, and assisting with receivables post-sale
  • Provide general office support as needed and required
  • Other activities as assigned by the employer

Requirements

  • Exceptional work ethic and attention to detail
  • Superior organization and time-management skills
  • Must be able to travel freely around the globe
  • Previous experience in a similar role working with HNW individuals/luxury market would be advantageous
  • High level of spoken and written English
  • A working proficiency in a second language French/Italian/German is essential
  • University degree
