Description:

As Commercial Support Executive, you will organize and coordinate office administrative tasks and procedures, manage meetings and events and support the commercial team with CRS and PO systems management. You will work closely with internal and external stakeholders and play a key role in the regional commercial team, ensuring organizational effectiveness and efficiency. You will be performing personal assistance tasks related to General Manager’s agenda and travel arrangements.

EXPERIENCE AND QUALIFICATIONS:

You should demonstrate an energetic and professional attitude along with the ability to manage administrative and organizational tasks. You are a team player with a hands-on mentality who can easily communicate and work with people from various hierarchy levels and departments. You possess excellent soft and technical skills. You can easily take on ad hoc decisions and perform multiple tasks simultaneously. The ability to work in a fast-paced and dynamic organisation is essential.

ADDITIONAL REQUIREMENTS INCLUDE:

  • A bachelor’s diploma in administration, communication or other relevant third-level education is desirable. Minimum 2 years of experience in a similar position
  • Strong interpersonal skills and sense of responsibility. Excellent organizational, time management, analytical, decision-making and communicative skills.
  • Ability to manage numerous simultaneous tasks and workflows autonomously and in teams.
  • Experience in project management and the ability to meet deadlines.
  • Collaborating well as part of an international, multi-functional team with the ability to build strong relationships with both internal and external stakeholders.
  • Excellent computer skills (Microsoft Office package). CRM software experience is a plus.
  • A proven track record of achieving targets and business objectives.
  • Versatile, self-motivated, and results-driven.
  • Fluent in English. Any other language will be a plus.
  • Strong commercial mindset. Flexible and accurate.
  • Attention to detail.

Responsibilities:

ROLE DELIVERABLES:

  • Dealing with correspondence and queries from internal and external stakeholders. Preparing letters, and packages and managing courier services.
  • Managing office budgets, inventory and branded merchandise stock.
  • Provide administrative support for the commercial team, such as purchase orders. Ensuring timely payments in close collaboration with the finance team.
  • Organizing company events and conferences in collaboration with other team members.
  • Organizing and scheduling meetings and appointments. Supporting the GM Americas with their daily agenda and travel arrangements.
  • Providing administrative support with commercial projects: preparing presentations and reports and collecting relevant data. Drafting external and internal communication.
  • Setting up and maintaining filing systems, responsible for ordering essential business documents and files within the Americas region.
  • Coordinating and organizing team-building arrangements. Continuously seeking process improvements, work efficiency, and well-being activities for the commercial team.
  • Ensuring important communication and messages are populated across the team timely.
