Description:

The Business Transformation Office (BTO) was established to enable the Digital Enterprise Transformation (DET) of Laboratory-wide business operations to improve both efficiency and effectiveness of the entire Laboratory. This enterprise modernization will include the implementation of modern business and management systems, re-architecture of the Laboratory databases, and development of efficient and effective business, operational, and management processes. The ultimate goal is to create a culture of continuous improvement that allows our researchers and staff to be more effective and have greater job satisfaction.

JOB SUMMARY

The Communications Coordinator for the BTO will support the facilitation and execution of change management communications for a variety of DET organizational change management needs. The Communications Coordinator will work side-by-side with business transformation managers, DET project team members and MIT-LL community members on a wide variety of transformative projects aimed at achieving the strategic objectives of the Laboratory and preparing the business for the future. Primary responsibilities include the coordination and implementation of communications plans focused on user experience that drive faster adoption, higher utilization, and greater proficiency of enterprise-wide initiatives to increase benefit realization, value creation, ROI, and the achievement of results and outcomes.

  • Facilitate and execute the monthly DET update emails for ongoing projects.
  • Maintain and coordinate project websites for community updates (Confluence, SharePoint), blogs and Microsoft Teams files.
  • Coordinate, advertise and host DET project webinars/forums including post event follow-up (onsite and virtually as required).
  • Support project leads in message design and alignment with overall DET brand, objectives and messaging.
  • Coordinate and execute periodic engagement and change readiness surveys to measure communications & OCM readiness for ongoing projects.
  • Monitor analytics and create reports detailing the successes and failures of communications campaigns, methods and tactics.
  • Serve as a liaison between the BTO and Technical Communications when requiring services from their art directors, designers, developers, editors, multimedia specialists, and production staff in support of ongoing DET projects
  • Provide support to the Head and Assistant Head, as well as the business transformation. managers in facilitating and executing administrative tasks relevant to existing DET projects. This may include but is not limited to helping with BTO event planning, procurement actions and scheduling project activities to include preparing, tracking and posting/archiving project documentation.

REQUIREMENTS

  • 2+ years of experience in communications, marketing, business and/or organizational change management is required. An A.S. or B.S. degree is preferred. An equivalent combination of experience and/or education will be considered.
  • Demonstrated excellent written, visual and oral communication and presentation skills as well as experience communicating to all audiences within an organization is required.
  • Must be able to convey information effectively and in the most accessible and understandable way, including content delivery that leverages various visual/graphic design techniques.
  • Experience coordinating and facilitating meetings and groups, gathering and synthesizing input from various stakeholders.
  • Must have the ability to multitask and handle several projects simultaneously.
  • Ability to work independently or with minimal direction.
  • Attention to detail and accuracy is required.
  • Must be highly organized and have good problem-solving skills.
