Job Description
Brookfield Properties has an immediate need for an Executive Assistant at our Chicago headquarters.
The Executive Assistant is responsible for supporting three executive leaders – Chief Marketing Officer, Chief People Officer, Chief Optimization Officer - in the organization. The ideal person is a proactive problem solver with exceptional communication skills and a meticulous attention to detail. This individual will be responsible for coordinating a variety of special projects which may have an organizational-wide impact. Given the changing nature of the executive landscape, we rely on our assistants for flexibility and foresight, while maintaining confidences related to high-level systems and operations.
Maintain and refine internal processes that support the highest-ranking executives company-wide, coordinating internal and external resources to expedite workflow
Plan and orchestrate work to ensure the senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld
Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives
Manage, coordinate, and arrange senior executives’ travel and travel-related activities, including hotel booking, transportation, meal coordination, and expense reporting
Liaising with internal and external executives on various projects and tasks
Perform administrative and office support, such as typing, spreadsheet creation, presentation development, and maintenance of filing system and contact database
Establishes and maintain effective working relationships with internal and external business partners and their support staff
Organize team communications and plan events, both internally and offsite
Ad hoc duties as assigned


High School diploma or GED required.
Some college preferred
5 years of administrative experience
Experience overseeing budgets, invoicing and expenses
Experience developing internal processes and filing systems
Superb written and verbal communication skills
Strong time-management skills and the ability to organize and coordinate multiple projects at once
Proficiency in Microsoft Office and other productivity tools, with aptitude to learn new software and systems
Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
Demonstrates ability to take initiative, anticipate needs and exercise independent/sound judgment
Strong attention to detail
