EXECUTIVE ASSISTANT
Reports to: Chief Administrative Officer
Status: Temporary, Full-Time (1-Year Term), Hybrid
Location: Flexible hybrid arrangement with a minimum of 1–2 days per week in person. Office location may vary between Merritt and Spences Bridge based on operational demands. Candidates with greater availability for in-person work will be prioritized.
ABOUT US:
The Cook’s Ferry Indian Band is a Nlaka’pamux government located in the Central Interior Region of British Columbia. It has 26 reserves of various sizes, primarily in the scenic Thompson River Valley between what are now known as Ashcroft and Lytton, British Columbia, and through the Nicola Valley, including Merritt.
POSITION OVERVIEW:
We are seeking a highly organized and proactive Executive Assistant to support the Chief Administrative Officer and the Chief and Council. This role provides essential administrative, governance, and communications support that contributes directly to the effectiveness of leadership and the delivery of services to the community. Working in a Band Office can be both challenging and deeply rewarding—the work you do has a meaningful and lasting impact on the lives of Cook’s Ferry members.
QUALIFICATIONS:
· Minimum 4+ years of experience in an administrative or executive support role.
· High proficiency in Microsoft Office Suite and virtual collaboration tools.
· Strong written and verbal communication skills.
· Ability to manage multiple priorities and work independently.
· Demonstrated professionalism, discretion, and cultural sensitivity.
· Experience with record management systems and practices.
Administrative Support
· Manage calendars, schedule meetings, and coordinate travel arrangements.
· Prepare correspondence, reports, and presentations.
· Maintain filing systems and ensure confidentiality of sensitive documents.
· Track deadlines and follow up on action items.
· Support in connecting with membership to maintain positive relationships and help resolve concerns.
· Manage and maintain organizational records and documentation systems.
Meeting & Event Coordination
· Organize logistics for meetings and workshops.
· Prepare agendas, take minutes, and distribute meeting materials.
· Liaise with internal departments and external partners.
Governance & Communications
· Support Chief & Council communications and documentation.
· Assist with preparation of briefing notes.
· Coordinate internal communications and updates.
· Prepare weekly Chief and Council meeting packages.
Project & Process Optimization
· Identify and implement process improvements to streamline workflows and enhance operational efficiency.
· Assist with special projects and initiatives led by the Chief Administrative Officer.
Financials
· Track, code, and submit expenses, invoices, and receipts to the finance department.
· Support budget tracking.
