To coordinate the Office of the President and provide administrative support to the President and Board of Trustees. Responsible for internal and external communications for the Office of the President.


Associate’s Degree


Five years work experience as an assistant to senior level administrative staff, including independent project work. One year supervisory experience.


Proven decision-making and superior communication and organizational skills; ability to type 80 wpm and shorthand 100 wpm; strong knowledge of general office equipment.


  1. Coordinates office work flow and recordkeeping system. Determines urgency and response to in-person inquires and telephone calls for the President and the Board, exercising discretion in obtaining and disseminating information.
  2. Oversees the scheduling of appointments and community outreach events for the President and the Board. Is responsible for the scheduling of regular and special meetings for the President and Board.
  3. Coordinates conference and travel reservations for the president and the Board of Trustees, as well as the preparation of reimbursement reports.
  4. Writes and manages all communications for the President’s Office and Board of Trustees. (web page).
  5. Assists in budget preparation for Office of President and Board of Trustees. Maintains control records for all accounts.
  6. Is responsible for all written communications on behalf of the President and Board at their request. Prepares communication and reports for the President and Board as written or dictated.
  7. Prepares agendas for regular meetings of the Board, based on data from President and Vice Presidents, and organizes material into monthly Board meeting Action and Information Books.
  8. Functions as Recording Secretary for regular and special meetings of the Board, recording votes, taking minutes, and transcribing according to approved minute format. Maintains all records according to legal requirements.
  9. Writes meeting notices and agendas for special as well as regular meetings of the Board, adhering to Open Meetings Act regulations. Notifies the Public Affairs Office to post and distribute such materials to newspapers.
  10. Processes petitions for Trustee elections.
  11. Supervises the Secretary to the President’s Office.
  12. Interfaces routinely with vice presidents; communicates with all levels of employees and students, as well as public officials and business representatives.
  13. Assists with special projects for the President and the Board.
  14. Assists the President in networking at community outreach events.
  15. Writes articles for Community Connections Newsletter and other publications.
  16. Oversees the management of partner contacts for the Office of the President.
  17. Responsible for identifying and purchasing technology for effective operations of the Office of the President and Board of Trustees.
  18. Coordinates the President’s Leadership Academy.
  19. Assists the President in the coordination of shared governance structures.
  20. Other duties as assigned
