The Office Administrator performs a range of administrative tasks in support of teams, managers and the business, and responds to enquiries and requests.
This role is required to travel intermittently between our facilities in Box Hill and Blackburn North and will require the successful candidate to hold a valid driver’s license and their own vehicle.
Standard office hours are 9-5pm but a degree of flexibility is required to accommodate for early or late afternoon catering requests/meetings.

THE ACCOUNTABILITIES

  • Ensures general office operations across Melbourne sites
  • Ensures all staff information is recorded and updated in PI Systems
  • Answer incoming calls and assumes other receptionist duties when needed / required
  • First point of contact for building and office maintenance, mailing, shipping, supplies, equipment, invoices, and errands
  • Coordinate and maintain the following; kitchen, printer, petty cash, marketing products, stationary, parking, and general mail
  • Administrative work ranging from simple operations (collation of documents; office supplies) to more complex tasks (such as financial administration and reporting)
  • Collection and analysis of data, reporting and presentation of results
  • Responding to questions and requests for information
  • Coordinates events, services and meetings as required
  • Coordinates travel requests as required
  • Develops standards and promoting activities that enhance operational procedures with Facilities Manager
  • Efficiently completing and managing all tasks as required
  • Other duties as required commensurate with your skills and experience

THE TYPICAL EXPERIENCES

  • Minimum 2 years’ experience as an office administrator
  • Qualification in business administration, communication or related
  • Knowledge of business management systems and procedures which directly impact work
  • Proficiency in MS 365 suite with expertise in Microsoft Word, PowerPoint and Excel
  • Excellent time management skills and ability to multitask and prioritize work
  • General aptitude with learning new software
  • Adherence to OH&S requirements: Safe use of potentially hazardous equipment, liquids etc
  • Strong attention to detail, organizational and problem-solving skills
  • Excellent written and verbal communication skills
  • Knowledge of accounting, data, and administrative management practices and procedures
  • Experience developing and implementing policies and procedures
  • Compliance with PI policies; procedures and international quality standards
