  • Kaufmännische Ausbildung mit mehrjähriger (langjährig) Berufserfahrung im Assistenzbereich (fachspezifische Weiterbildung).
  • Erste Erfahrungen im Umgang mit SAP HR Module, Zeitbuchungen, Buchung der Zeiterfassung und Gewährleistung des Informationsflusses.
  • Deutsch- sowie Englischkenntnisse: B2 oder höher
  • Kommunikationsstärke und Empathie.
  • Souveränes Auftreten, Durchsetzungsvermögen und Konfliktfähigkeit.
  • Verantwortungsbewusstsein.
  • Strukturierte Arbeitsweise und Organisationstalent.
  • Schnelle Auffassungsgabe und vorausschauendes Denken.

QUALIFICATIONS AND EXPERIENCE

  • Relevant training with several years of proven experience as an Office Manager, Front Office Manager or Administrative Assistant.
  • Initial experience in handling SAP HR modules, time bookings, and ensuring the flow of information.
  • German and English skills: C1 or higher.
  • Strong communication skills and empathy.
  • Self-confidence, assertiveness, and conflict resolution skills.
  • Sense of responsibility.
  • Structured working style and an organizational talent.
  • Quick comprehension and proactive thinking.

Responsibilities:

OVERALL PURPOSE OF THE POSITION

You will be responsible to ensure the efficient and smooth operation of the office with 30-40 employees. This includes providing essential administrative support to senior management, improving productivity through effective office procedures, and maintaining a positive work environment. Additionally, you will manage resources and you will act as a central point of communication, ensuring clear and effective information flow within the organization.

KEY DUTIES AND RESPONSIBILITIES

  • Implementation of the ad-hoc requirements set by the project directors and project managers to alleviate the management in various project areas.
  • Creation of presentations, reports, and documents for internal and external clients.
  • Organization, coordination, preparation, and follow up on meetings with internal and external stakeholders, including taking minutes if necessary.
  • Organization of the office taking responsibility of tasks such as administering office supplies, reviewing invoices, booking of goods receipts, planning appointments and travel, and coordinating with craftsmen, landlords, and caretakers.
  • Design and organization of team-building activities.
  • Support to the HR department by checking and booking time records and ensuring the flow of information.
  • Fleet management, including allocating pool vehicles, scheduling, and monitoring service appointments.
