Description:

Job Title: Receptionist // Front Desk Administrator
Reports to: HR Manager
FLSA Status: Non-Exempt // Hourly
Schedule: To Be Determined // Approximately 25 Hours per Week

KNOWLEDGE AND SKILL REQUIREMENTS

  • A high school diploma or its equivalent
  • Progressively responsible experience in Customer Service, Data Entry, or Scheduling in a manufacturing environment.
  • Knowledge in Microsoft Word, Excel, PowerPoint, and Office is a requirement

PHYSICAL REQUIREMENTS

  • Bending, stooping, reaching, twisting, lifting, pushing, pulling and moving items
  • Responding to public address system announcements
  • Walking and standing
  • Ability to lift fifty (25) pounds or more
  • May have to handle parts with sharp edges
  • May have to work outdoors occasionally where temperatures and climate can fluctuate
  • Multitasking

ENVIRONMENTAL JOB REQUIREMENTS

  • Due to forklifts and other heavy equipment traveling through the shop, temporary cracks may appear in the floor, causing an uneven walking surface
  • The shop environment can be dusty and noisy
  • Door are frequently open, causing drafts and interior temperature changes
  • Floors around work area may become slippery during wet weather conditions, or liquids such as coolants and oils from the machinery
  • May have to handle parts with sharp edges
  • Passing forklifts emit gas fumes
  • Tools, supplies, and related materials may contain hazardous materials
  • May have to occasionally work outdoors where temperatures and climate can fluctuate

Responsibilities:

Scheduling of Company Conference Rooms

  • Maintain Executive Conference Room - (i.e. professional appearance, appropriate drinks, if there is an area in the conference room that needs cleaning, please alert the cleaning service, etc…)
  • Maintain Training Room - (i.e. professional appearance, appropriate drinks, if there is an area in the conference room that needs cleaning, please alert the cleaning service, etc…).
  • Both conference room are required to consistently stocked and cleaned before outside meetings are scheduled (i.e. Refrigerator stocking, clean tables/chairs, organized cabinets, etc…)

Catering

  • Catering requests for company visitors/customers
  • Catering requests for internal company meetings (i.e. Weekly Manager’s Meeting, internal trainings, etc…)
  • Any other catering requests as assigned…

Front Desk Administrative Duties

  • Send out an updated phone and email directory at the beginning of each month to Managers and Supervisors.
  • Answering the main phone line as needed
  • Weekly inventory of Supply Closet and Conference Room to compile order (supplies, coffee, cups, etc.)
  • Send correspondence out every Friday or end of the week to Manager’s to see if there are any special requests for the following week (i.e. office supplies, catering requests, etc…)
  • Maintain water, ice and popsicle program
  • Greeting visitors and paging the employee for whom they are scheduled to meet
  • Scan for phishing in phone calls
  • Ensure ALL visitors sign in and out
  • Maintain visitor badges, ensuring all have been returned
  • Participate in the Internal Social Media platform
  • Retrieving mail from local post office
  • Other Administrative duties as needed
