Description:

Applications are invited for the above permanent part-time post working in Skills and Employability Service.
Duties will include providing administrative support within the Skills and Employability Service, with specific focus on the TARGETconnect and work experience team but also contributing to the reception function and administrative tasks of the Skills and Employability team as whole.
Candidates should be educated to GCSE level (minimum of 5), NVQ level II (or equivalent) in an appropriate subject e.g. Customer Service or Business Administration or possess equivalent experience and have previous experience working within a busy office /administrative environment delivering excellent customer service.
Must be proficient in the use of Microsoft Office applications (Word, Excel etc) and other software systems are essential.
The ability to communicate in Welsh is essential for this post.
The successful candidate will be expected to commence as soon as possible and this is a part-time post working 21.75 hours per week.

Overview
The Skills and Employability Service are a team of dedicated professionals who are committed to helping Bangor University students and graduates reach their career potential during their course and beyond graduation.
Purpose of the Job
To provide administrative support within the Skills and Employability Service, with specific focus on the TARGETconnect and work experience team but also contributing to the reception function and administrative tasks of the Skills and Employability team as whole. When necessary the post holder will be required to cover administrative duties across other areas of Student Services as directed by the Director of Student Services. This post reports to the Employer Liaison and Work Experience Manager.
Main Duties and Responsibilities

Providing administrative support for the TARGETconnect and work experience team as follows:

  • provide a bilingual first point of contact for face-to-face, telephone and email enquires.
  • provide general administrative support to the Employer Liaison and Work Experience Manager.
  • organise the social media campaigns and content for work experience and opportunities.
  • support the team and academic schools in the organisation of placements and work experience.
  • organise publicity for the Placements and Work Experience schemes across the University including other academic support services.
  • update and maintain the Centre’s online provision and resources.
  • collect and manage service information including usage statistics, service feedback and placement records.
  • data entry to electronic information systems including appointment systems and databases; Approve and publish opportunities and placements on TARGETconnect.

Other Duties:

Provide administrative support for the Skills and Employability Service as a whole:

  • contribute to reception functions within the Skills and Employability Service, responding bilingually to telephone and email enquiries from students, staff, graduates and employers, making referrals and appointments as appropriate.
  • provide data entry or information updating support as required across the service.
  • provide administrative support for events such as workshops and short courses, employer presentations etc.

Provide administrative support across Student Services:

  • contribute to administrative duties across Student Services as required by the Director of Student Services.
  • Any other duties appropriate to the grade as directed through line management.

Qualifications/Training

Essential:

Experience/Knowledge

Essential

  • Experience of working within an office /administrative environment.
  • Experience of dealing with queries and providing information to students and employers.
  • An understanding of academic regulations and procedures.
  • An understanding of legislative requirements relating to equality, data protection and freedom of information.
  • An understanding of information (relevant to area of work).
  • Experience of working with Banner student records system.

Desirable

  • Experience of working within a Higher Education environment.
  • Experience of working with databases.
  • An understanding of the internal and external factors that may impact on the service.
  • An understanding of the needs of culturally diverse staff and students.
  • Knows when a decision is beyond the roles level of responsibility and when to refer to others.

Skills/Abilities

Essential

  • Good communication and inter-personal skills, with the ability to communicate effectively, both orally and in writing and with proven ability to communicate effectively and professionally with a wide range of people.
  • Excellent organisational skills and ability to handle a varied and demanding workload.
  • Accurate data entry and attention to detail.
  • Ability to be proactive and identify and recommend changes for improvement where appropriate.
  • Ability to manage workload, prioritise tasks and meet deadlines.
  • Proficient in the use of Microsoft Office applications (Word, Excel, Access, Teams and OneDrive etc).

Essential

  • the ability to speak Welsh fluently and carry out tasks such as writing emails in Welsh to a variety of audiences is essential for this post.
