We are seeking an experienced Payroll Manager to join our Human Resources team. The ideal candidate will be responsible for overseeing and managing all aspects of the payroll process, ensuring accuracy, compliance, and timely execution of payroll activities. This role requires strong collaboration with various departments to ensure seamless payroll operations. The ideal candidate is analytical, methodical, and experienced in payroll administration. A deep understanding of payroll regulations in multiple states is crucial. Additionally, we value qualities such as integrity, team spirit, and strong organizational skills. The goal of this position will be to lead the end-to-end payroll process, maintain compliance, streamline payroll procedures for efficiency, and stay up to date with current regulations and best practices.

Responsibilities:

  • Payroll Processing:
  • Process biweekly multistate payroll for approximately 1,000 non-exempt and exempt employees in the US and Canada.
  • Ensure compliance with local, state, and federal regulations.
  • Process payroll adjustments, deductions, and reconciliations by auditing and amending any inefficiencies or inaccuracies that come up during the payroll process.
  • Performs daily payroll operations, including the review of department time records, appropriate tax calculations, execution of payroll interfaces, payroll closing and cost allocations.
  • Prepare and declare withholdings and deductions including garnishments, and expense reimbursements.
  • Analyze payroll variances and validate final reports to ensure accuracy.
  • Guarantee timely and accurate processing of accelerated termination payments, bonuses, severances, retro payments, tips, and imputed income.
  • Produces checks or electronic transfers by working closely with other departments, banking institutions and payment processors toward accurate and timely payment remittance. Also reviews and resolves banking /electronic payment inquiries (pay cards, ACH, foreign wires)
  • Prepare payroll and payroll related month end journal entries.
  • Answer and resolve employee payroll related questions.
  • Compliance and Reporting:
  • Prepare and submit payroll tax reports, including quarterly and annual filings, including W-2’s.
  • Generate and distribute accurate payroll reports to management and finance.
  • Ensure Payroll SOX Compliance standards are followed and participate in internal and external audits by providing records and documentation as required.
  • Create and maintain updated departments SOP’s.
  • Assist with payroll salary audits for FLSA and minimum wage rate changes.
  • Ensure accurate and timely entry of payroll changes such as new hires, terminations, and salary adjustments.
  • Conduct regular audits to ensure data integrity and accuracy.
  • Benefits Administration:
  • Coordinate with the benefits team to ensure accurate deduction and payment of employee benefits.
  • Assist in the administration of employee benefits programs, including health insurance, retirement plans, and other benefits.
  • Administer, process, and maintain time off requests and accruals.
  • Employee Support:
  • Serve as the primary point of contact for payroll-related inquiries from employees.
  • Provide support and guidance to employees regarding payroll policies and procedures.
  • Resolve payroll-related issues and discrepancies.
  • System Improvements:
  • Identify and implement process improvements to enhance payroll efficiency and accuracy.
  • Collaborate with HR and IT to optimize payroll software and systems use.
  • Ensure that ADP Essential Timekeeping system data is accurate, and that the system is maintained.
