Description:
Job Type: 6 month Full-time Contract
We are looking for a Program Operations Administrator to support with data and reporting within our Business Operations department at Fluent Commerce. In this role, you will report directly to the VP of Business Operations, assuming responsibility for the consolidation and analysis of reports, streamlining operational processes and ensuring the efficient functioning of the department. Your role will encompass monthly reporting, invoicing and communication for Expert Services, Customer Success & Finance.

You’ll be involved in impactful global support initiatives throughout the year to drive change and provide analysis on reports, data and metrics to identify trends, areas for improvement, and opportunities for optimization. Key Responsibilities:
- Creating, monitoring, consolidating & analysing data and reporting across the business.
- Monthly time reporting is compiled for both Expert Services & Partners, and then submitted to Finance for client invoicing and execution.
- Send support-related emails to external clients, facilitated through platforms such as Jira.
- Internal documentation encompassing utilisation reports designed for our Expert Services consultants.
- Engagements with Clients and Partners aimed at alleviating administrative load on leadership.
- Partner with Expert Services, Customer Success & Global Support.
- Planning and coordinating meetings, materials and other events.
- Assist with preparation of client and internal presentations.
- Proficiency in utilising tools such as Salesforce, Jira, Harvest, Google Workspace, Xero & Microsoft Office to facilitate impactful reporting for valuable business insights.
- Check & approve client invoicing.
- Analysing monthly Jira tickets for support incidents and escalating to management via monthly reporting.
- Consistent upkeep of dashboards for Expert Services & Customer Success within the JIRA platform.
- Attending and actively participating in weekly meetings and team calls.
Skills, Knowledge & Expertise:
- Business Administration Degree or equivalent
- Program Operations Experience – you’ll have worked in an Operations role specialising in delivering on-time reporting effectively.
- Excited and passionate about making an impact and tackling business challenges.
- Excellent communication, interpersonal and relationship management skills moving regularly between the tactical and strategic priorities.
- Ability to work cross-functionally and balance collaboration and communication with multiple stakeholders across various departments and functions.
- Ability to act with integrity and ethics in handling confidential information.
- Ability to be tactical and make timely, effective, report-based decisions.
