The Position
This position reports to the Director, Advancement Services and oversees the inputs and outputs of the Advancement Services department as it relates to the donor database system (Raiser’s Edge) and acts as a point of contact between Advancement Services and the Finance, Operations and Database teams.
The Project and Data Specialist supports the Director, Advancement Services by providing input related to processes and coordinating projects involving Raiser’s Edge and other technology supporting the department’s activities.

Responsibilities:

Driving business optimization by rethinking processes and exploring creative solutions to better serve our donor’s needs, as well as identifying areas for growth and innovation
Leading department-specific projects and ensuring deliverables are completed on time and in full, including when working on Foundation-wide projects and initiatives
Supporting the Director, Advancement Services with business transformation initiatives in the areas of technology, data governance and process development
Making strategic recommendations on department operations and new initiatives based on and supported by data
Collaborating with internal and external partners in the development of activities in support of and in alignment with organizational strategic priorities
Supporting fundraising opportunities and initiatives to achieve business goals, as it relates to gift and data processing
Bridging activities between Advancement Services and the Database, Digital and Operations teams as it relates to gift processing, data hygiene and best practices in support of fundraisers and donor needs
Ensuring the integrity of the data and gifts processed, according to CRA and industry best practices, to support informed decision-making for all Foundation stakeholders
Providing and facilitating training on subject-matter expertise to support a culture of continuous improvement and best-in-class results
Overseeing new technology and systems rollout to team operations, including timeline and execution
Overseeing the Monthly Program by auditing data and ensuring all related activities take place according to established deadlines and protocols
Liaising with Leadership Giving to plan and execute new initiatives
Overseeing and coordinating period close procedures for the Advancement Services department, regarding gift processing, to ensure deadlines are met and data is accurate
Preparing, analyzing and distributing weekly, monthly and ad hoc departmental data and statistics reports
Participating directly in the annual business and strategic planning process, and supporting the overall evaluation of the Advancement Services program and donor interactions
Reviewing processing and assisting with committing gifts into Raiser’s Edge, as needed
Supporting the Director in campaign planning related to the development of processes and ensuring continuity of Advancement Services activities leading up to and during a capital campaign
Supporting and overseeing PCI compliance requirements as it applies to gift processing; ensuring the Advancement Services team is up to date in internal PCI compliant practices
Ensuring appropriate security measures are always exercised, as it relates to security for all media and technology used for recording gifts and all databases, payment gateways, payment providers and software used to support the department’s activities
Qualifications
5+ years of experience in a role that involves strategic planning, process development and assessment, and project management
Project Management certification or Raiser’s Edge / Raiser’s Edge NXT Professional Certification an asset
A degree or diploma from a recognized post-secondary institution an asset
Core Knowledge + Skills
Strong leadership skills and the ability to create / maintain a positive, team-oriented work environment
Ability to communicate effectively and respectfully, both verbally and in writing
Ability to provide exceptional customer service and to promote customer service excellence to others
Ability to determine priorities and balance workload, both personal and for a medium to large team
Advanced, up-to-date knowledge of Blackbaud products (Raiser’s Edge, RE NXT, Luminate Online, Online Express) and PaperSave specifically relating to database maintenance, gift processing and opportunities for innovation.
Deep understanding of payment systems requirements and needs to enable and support new fundraising platforms and activities
Current knowledge of CRA rules and regulations as they relate to gift processing and charitable activities.
Possess a thorough understanding of gift processing – bequests, estates, life insurance, tribute gifts, gift in kind, etc.
Proficiency in Microsoft Excel and working knowledge of Microsoft Word, Outlook, Zoom are required
Working knowledge of Asana and Slack an asset
Ideally has 1-2 years relevant experience, preferably in a complex fundraising organization with a large donor base and a medium to large team
Salary Range : $55,000 – $77,500
