Description:

GCI’s Project Coordinator provides support to project managers and/or construction management teams, ensuring project work is clearly defined and all tasks are completed on time and within budget. Ensure regulatory & company documentation is complete and retained following company compliance and policy.

ADDITIONAL JOB REQUIREMENTS:

This is an entry level position within the Project Coordinator Discipline working under close supervision.

MINIMUM QUALIFICATIONS:

Required: * A combination of relevant work experience and/or education sufficient to perform the duties of the job may substitute to meet the total years required on a year-for-year basis

  • High School diploma or equivalent.Minimum of three (3) years of experience in office administration, project coordination, inventory, warehousing, telecom installations, or related field. *

PHYSICAL REQUIREMENTS AND WORKING CONDITIONS:

  • Work is primarily sedentary, requiring daily routine computer usage.
  • Ability to work shifts as assigned, work in standard office/home office setting, and operate standard office equipment.
  • Ability to accurately communicate information and ideas to others effectively.
  • Physical agility and effort sufficient to perform job duties safely and effectively.
  • Ability to make valid judgments and decisions.
  • Available to work additional time on weekends, holidays, before or after normal work hours when necessary.
  • Must work well in a team environment and be able to work with a diverse group of people and customers.Virtual workers must comply with remote work policies and agreements.

Due to business needs employees may be contacted outside of the core business hours to respond to the immediate emergency. Responsibilities:

ESSENTIAL DUTIES AND RESPONSIBILITIES AT ALL LEVELS:

  • Work closely with Project and/or Construction Managers to support and ensure projects are completed on time and within budget.
  • Coordinate logistics for materials including project closeout and disposition of excess materials.
  • Coordinate tracking materials upon order dates and organize required project documentation.
  • Support users of central repository database in site management, compliance, and workflow management.
  • Conduct data validation and audits on project and site information, ensuring that the project is appropriately defined.
  • Arrange schedules and regulate flow of work within or between organizational units or businesses.
  • Update daily and weekly trackers, provide status updates and reporting as needed.
  • Work with site acquisition, engineering, and contractors to meet deadlines.
  • Ensure regulatory & company documentation is complete and retained following company compliance and policy.
  • Review project proposals, ensure projects adhere to contract language, and issueand track projectamendment documentation.
  • Communicate any issues, problems, or additional information to project managers and project stakeholders proposing possible solutions.Monitor and evaluate project timeline and activity and report on progress to project teams.

ESSENTIAL DUTIES:

Track and document project progress and operational issues for reporting purposes. File project documents and create and manage close out documents and site files. Compile reports concerning the progress of work and downtime due to failures of machines and equipment to apprise planning personnel of delays. Maintain inventory of equipment, materials, and parts needed to complete production.
Assist with procurement, vetting payback requirements for funding approval, and logistics, including shipping/travel arrangements, scheduling meetings, and documentation of meeting minutes.
Administer outside services, special engineering projects, and coordinate with Contracts, Legal, and Regulatory. Communicate with clients and supervisors to determine work progress and provide change information.
Support users of central repository databases with site management, compliance, and workflow management. Review, maintain, and retain required documentation to include charters, schedules, drawings, permits, etc.
Work with site acquisition, engineering, and contractors to meet deadlines. Assist in the process of completing company projects on time and on budget. Distribute work orders denoting number, type, and proposed completion date.
