SUMMARY

We are looking for a detail-oriented and knowledgeable Project Management Accountant and Tax Specialist. The ideal candidate will be responsible for ensuring accurate tax reporting, adhering to state regulations, and maintaining current registrations across various jurisdictions. This position will oversee financial performance across projects, ensure precise cost tracking, and manage all project accounts while possessing a comprehensive understanding of local, state, and federal tax regulations.
This role demands strong analytical skills, meticulous attention to detail, and the ability to collaborate effectively with multiple departments.

REQUIREMENTS

- - Bachelor’s degree in accounting, Finance, or a related discipline.
- Over 2 years of experience in accounting or tax compliance, with a preference for expertise in sales and use tax.
- In-depth knowledge of state tax regulations and compliance requirements.
- Proficiency in QuickBooks and Microsoft Excel.
- Exceptional analytical and problem-solving abilities.
- High attention to detail and accuracy.
- Capability to work independently and efficiently manage multiple tasks.

Responsibilities

    1. Project Financial Oversight:

    • Supervise budgets, forecasts, and cost allocations for multiple ongoing projects.
    • Monitor and report on project profitability and key performance indicators.
    • Collaborate with project managers to align actual expenditures with forecasts.
    • Oversee invoicing, billing cycles, and revenue recognition in accordance with project milestones.
    • Sales and Use Tax Compliance:
    • Timely preparation and filing of sales and use tax returns across multiple states.
    • Ensure adherence to state and local tax laws, including understanding product and service taxability.
    • Stay updated on changes in sales and use tax legislation and evaluate their impact on the organization.
    • State Registrations Management:
    • Oversee and maintain state registrations, ensuring all required documentation is current and submitted.
    • Liaise with state agencies to address and resolve registration issues or inquiries.
    • Tax Reporting and Analysis:
    • Assist in preparing monthly, quarterly, and annual tax reports related to sales and use tax.
    • Analyze sales data to ensure precise tax calculations and reporting.
    • Ensure compliance with federal, state, and local tax laws across all project sites.
    • Prepare and review project-related tax filings, including sales, use, and contractor taxes.
    • Research tax implications for new projects, contracts, and jurisdictions.
    • Coordinate with external tax advisors to ensure compliance and optimize tax strategies.
    • Audit Support:
    • Prepare documentation and support for sales and use tax audits by state authorities.
    • Address inquiries from tax authorities and assist in resolving tax-related issues.
    • Record Management:
    • Maintain organized records of all sales and use tax filings, correspondence, and supporting documents.
    • Ensure all tax-related and state registration records are accurate and accessible for audits and reviews.
    • Continuous Improvement:
    • Identify and implement opportunities for process improvements in tax compliance and reporting.
    • Stay informed on best practices in sales and use tax compliance and apply necessary changes.
    • General Office Operations:
    • Provide support to other departments as needed.
    • Implement cost-saving solutions and collaborate effectively with team members.
    • Manage the purchase of office supplies and equipment, maintaining appropriate stock levels.
    • Print blueprints, organize project files, and price materials and equipment.
    • Negotiate vendor pricing and manage project vendor relationships.
