POSITION SUMMARY

Craft Master Custom Pools is seeking a versatile and resourceful Project Manager / Operations Coordinator to join our growing luxury pool building company. This is a “jack-of-all-trades” role for someone who thrives on problem-solving, organization, and hands-on involvement across all aspects of our operations. The ideal candidate is equally comfortable working in the office, in the field, or with clients and subcontractors, and has a knack for improving systems while keeping day-to-day operations running smoothly.
A key focus of this role will be overseeing technology implementation, process optimization, permitting support, and vendor coordination.

QUALIFICATIONS

  • 3–5 years of experience in project management, operations, or a similar role (construction experience a plus).
  • Strong organizational and problem-solving skills.
  • Tech-savvy with experience using CRM systems, AI, project management tools, and Microsoft Office/Google Workspace.
  • Familiarity with fleet management or willingness to develop expertise quickly.
  • Excellent communication and interpersonal skills.
  • Ability to work independently, multitask, and adapt to changing priorities.
  • Hands-on, proactive, and resourceful with a growth mindset.

Responsibilities
  • Technology & Systems – Implement and manage a CRM system, digitize paper records, introduce GPS and mobile job tracking tools, and support the team in adopting smarter technology.
  • Process Optimization – Document and streamline workflows, standardize communications, and partially automate internal and external updates to improve efficiency.
  • Permitting Support – Oversee permit applications, submissions, and approvals; communicate with municipalities to prevent bottlenecks.
  • Fleet Management – Create and oversee a fleet maintenance schedule, coordinate repairs, and ensure all vehicles and equipment are operating safely and efficiently.
  • Subcontractor & Vendor Coordination – Work with bookkeepers to ensure timely subcontractor payments; manage supply house relationships, negotiate pricing, and place orders.
  • Operations & Scaling – Support leadership by creating systems that allow the business to grow, while freeing up owners to focus on sales and revenue.
  • Marketing & Brand Support – Assist with website updates, social media, referral programs, signage, uniforms, and other brand touchpoints.
  • Office & Showroom Management – Lead office organization, cleanup, and assist in creating a polished, client-ready showroom experience.
  • General Project Support – Jump in wherever needed—whether in the office, the field, or with clients—to solve problems, coordinate logistics, or assist with special projects.
  • Other Duties as Needed – Serve as an adaptable, jack-of-all-trades team member ready to handle unexpected challenges and keep projects moving forward.
