QUALIFICATIONS

  • High school diploma.
  • Bachelor’s degree, diploma or certificate in office administration program considered an asset.
  • 1 year of experience in an administrative role or equivalent technical experience.
  • Excellent verbal, written and interpersonal communication skills.
  • Ability to multitask and adapt to change.
  • Ability to act with discretion when handling confidential information.
  • Ability to effectively handle difficult situations and remain calm under pressure.
  • Ability to develop and maintain effective stakeholder relationships.
  • Ability to create, edit, proofread, and format documents/presentations.
  • Basic skills in Word, Outlook, PowerPoint, Excel, Adobe, and OneNote.
  • Bilingualism considered an asset.

Responsibilities:

  • Supporting day-to-day operations by performing administrative tasks for manager, department, or team.
  • Procuring materials, equipment, and services as directed.
  • Identifying and selecting appropriate vendors to purchase from while meeting criteria such as specification, price, quantity, quality, safety requirements, and delivery date. Has clear understanding of “best value”.
  • Coordinating with suppliers, relevant internal departments, and project customers.
  • Transferring data from working documents to PCL systems, including entering asset and material information.
  • Assisting in ensuring departmental compliance with timelines, reporting, and invoicing.
  • Assisting in the management of Yard material and equipment inventory, including participating in self and team-initiated Yard inspections.
  • Developing and maintaining a well-organized filing system that permits easy reference and rapid retrieval of information.
  • Other duties as required.
