Job Title: Client Satisfaction Specialist
Location: Onsite Ocala
Position Type: Full-Time (Salaried)

Pay Range: $40,000 - $45,000 annually
JOB SUMMARY:
The Receptionist serves as the first point of contact for clients and visitors, ensuring a welcoming and professional atmosphere. This role is responsible for managing the front desk, answering a multi-line telephone system, directing calls, and performing various clerical duties. The ideal candidate will maintain client confidentiality, assist with office operations, and provide support to the legal team as needed.
EDUCATION:
- High school diploma or GED required.
EXPERIENCE:
- Minimum of one (1) year experience operating a multi-line phone system.
- Previous experience in a law firm or professional office environment preferred but no required.
- Bilingual (English/Spanish) highly preferred.
SKILLS:
- Proficient in Microsoft Office Suite and basic office equipment.
- Strong interpersonal skills and professional appearance.
TIME MANAGEMENT AND ORGANIZATIONAL SKILLS:
- Efficiently prioritize tasks to meet deadlines and maintain office operations.
WRITTEN COMMUNICATION SKILLS:
- Ability to compose clear and concise written messages, emails, and correspondence.

Responsibilities:
KEY RESPONSIBILITIES:
- Greet clients and visitors, ensuring they feel welcomed and assisted in a professional manner.
- Answer and route incoming calls using a multi-line phone system, relaying accurate messages to appropriate staff members.
- Maintain cleanliness and sanitize various areas of the office, including common spaces and reception.
- Sort, open, scan and distribute incoming mail, faxes, and packages in a timely manner.
- Assist with special projects, administrative tasks, and other duties as assigned by management.
- Monitor and manage office supply inventory and request restocking as needed.
- Maintain client confidentiality and demonstrate ethical conduct at all times.
