The Regulatory Compliance Associate is responsible for providing administrative and operational support to ensure the successful execution of product destruction activities and related tax refund processes in accordance with the Excise Tax Act and Customs Act, ensuring compliance with government regulations, maintaining detailed documentation, and collaborating with internal departments and external destruction companies to achieve project goals effectively and efficiently.

• Proficiency in Microsoft office Suite ie. Excel, one note, powerpoint, teams, outlook,
• Problem-solving skills
• Be able to lift up to and including 20lbs is occasionally required
• Will be required to travel on a regular basis to destruction site located 2 hours away from the GTA. (Driving License is mandatory in order to drive to the sites).
• Background in science/business administration/compliance/Regulatory Affairs/Finance and Accounting.

• Have a thorough understanding of applicable regulations and requirements related to product destruction and tax refunds.
• Coordination between government agencies, internal departments and vendors: Book for the destruction appointments, schedule the pick-up services, plan for the destruction with inventory control team.
• Paperwork/documentation support: Assist to prepare and organize the documents for product destruction and tax refund claims.
• Maintain accurate and up-to-date records of all forms, reports from both internal and external sources (Product lists, destruction tracker, CoD and related forms)
• Follow up with destruction companies for required documents, receipts and CoDs
• Ensure timely submission of all forms, importation documents to CBSA and CRA portals
• Have a mindset that can identify the opportunities where can improve the process for increased efficiency
• Proactively communicate within teams
• Work closely with product R&D, Manufacturing, supply chain, Finance and warehouse teams to identify and track the inventory and applicable duty payment status of raw materials, R&D samples, defective products, and retention samples, carry out destruction, retain excise tax records, and monitor relevant RPRA records; Collaborate with third-party vendors and destruction facilities to coordinate safe disposal methods
• Communicate directly with CRA Officer regarding destruction approvals. Provide accurate and timely documentation to support claims for tax adjustments or refunds
• Conduct monthly audits and reconciliation related to raw materials and samples in R&D room (head office and Granton site), Ferrier Warehouse, and Manufacturing to make sure the SOP is followed. Verify that sample quantities and statuses align with documented records on the Netsuite. Identify and investigate any discrepancies, reporting findings/issues to the team. Ensure that R&D areas are clean and organized.
