Job Title: RFP Specialist / Writer

JOB SUMMARY:

The RFP Specialist / Writer is responsible for developing, writing, and managing responses to Requests for Proposals (RFPs), Requests for Information (RFIs), and other procurement-related documents. This role involves close collaboration with cross-functional team members to gather necessary information, create compelling content, and ensure timely delivery of high-quality proposals.
The RFP Specialist / Writer will play a key role in supporting the organization’s business development efforts by creating persuasive and customized proposals that align with client needs and organizational goals.

QUALIFICATIONS:

  • Education: Bachelor’s degree in English, Communications, Marketing, Business Administration, or a related field. A master’s degree is a plus.
  • Experience: Minimum of 5 years of experience in RFP writing, proposal management, or technical writing. Experience in IT or professional services is highly desirable.
  • Skills:
  • Exceptional writing and editing skills with a strong command of grammar and style.
  • Ability to understand complex technical concepts and translate them into clear, persuasive content.
  • Strong project management skills, with the ability to manage multiple proposals simultaneously.
  • Excellent communication and interpersonal skills for effective collaboration with diverse teams.
  • Attention to detail and commitment to producing high-quality work.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and proposal management software (e.g., RFPIO, Loopio, Qvidian).

PREFERRED QUALIFICATIONS:

  • Experience with government RFPs and familiarity with the procurement process.
  • Certification in proposal management (e.g., APMP) is a plus.
  • Experience with graphic design tools (e.g., Adobe Creative Suite) for enhancing proposal visuals.

Responsibilities:

  • RFP/RFI Development: Analyze RFP/RFI documents to understand client requirements and develop a detailed response strategy. Manage the end-to-end process of proposal creation, including content development, formatting, and submission.
  • Content Writing: Write, edit, and proofread proposal content to ensure clarity, consistency, and compliance with client specifications. Tailor responses to reflect the unique strengths and capabilities of the organization.
  • Collaboration: Work closely with subject matter experts (SMEs), sales teams, project managers, and other stakeholders to gather information and insights necessary for proposal development. Facilitate meetings and discussions to ensure all aspects of the proposal are covered.
  • Project Management: Coordinate the proposal development process, including timeline management, task assignment, and progress tracking. Ensure all deadlines are met, and final submissions are completed on time.
  • Compliance and Quality Assurance: Ensure that all proposal responses are compliant with client requirements and internal standards. Conduct thorough reviews to identify and correct errors or inconsistencies before submission.
  • Repository Management: Maintain and update a repository of proposal templates, boilerplate content, and other reusable materials. Continuously improve and refine content based on feedback and lessons learned.
  • Client Communication: Serve as the primary point of contact for clients during the proposal process. Respond to client queries, provide updates on progress, and coordinate follow-up actions as needed.
  • Market Research: Conduct research on prospective clients, competitors, and industry trends to enhance the quality and competitiveness of proposals.
  • Reporting: Prepare and present reports on proposal activities, win/loss analysis, and key metrics to senior management. Use insights to inform future proposal strategies.
