Description:
POSITION SUMMARY:
This position ensures the smooth execution of various administrative and operational tasks, including financial management, job setup, and performance inquiries. This position will be responsible for handling a range of duties that bridge the gap between finance, operations, and field administration for the Service Department.
Education/Experience
- Bachelor’s degree in business administration, Finance, or related field preferred.
- Minimum of 2 years of relevant experience in administrative or service coordination roles.
- Proven experience in administrative or service coordination roles.
- Excellent organizational and multitasking abilities, with keen attention to detail.
- Exceptional communication and interpersonal skills.
- Ability to handle multiple tasks and projects simultaneously with minimal supervision.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook
Responsibilities:
- Organize and manage techs’ credit card receipts, approve credit card receipts and purchase orders in INRS.
- Generate purchase orders and ensure compliance with delegation of authority and associated quotes.
- Approve OnBase invoices.
- Update and maintain departmental cost spreadsheets.
- Develop and manage additional departmental spreadsheets as needed.
- Handle project performance inquiries and close out jobs.
- Setup job tickets and associated cost codes in CGC.
- Update and maintain customer portals with relevant information.
- Enter backflow test results into the system.
- Manage and update monthly labor hours for Safety.
- Update and revie cost spreadsheets, ensuring accuracy and completeness.
- Compare location reports and address discrepancies.
- Email open ticket logs and ensure timely updates and communication.
- Train new techs on all relevant systems.
- Provide support for additional projects and tasks as needed including potential cross departmental collaboration.
- Work with finance, Safety and Operations to ensure alignment and efficiency.
- Support the Service Department with various administrative needs and backup coverage as required
