Description:

POSITION SUMMARY:

This position ensures the smooth execution of various administrative and operational tasks, including financial management, job setup, and performance inquiries. This position will be responsible for handling a range of duties that bridge the gap between finance, operations, and field administration for the Service Department.

Education/Experience

  • Bachelor’s degree in business administration, Finance, or related field preferred.
  • Minimum of 2 years of relevant experience in administrative or service coordination roles.
  • Proven experience in administrative or service coordination roles.
  • Excellent organizational and multitasking abilities, with keen attention to detail.
  • Exceptional communication and interpersonal skills.
  • Ability to handle multiple tasks and projects simultaneously with minimal supervision.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook

Responsibilities:

  • Organize and manage techs’ credit card receipts, approve credit card receipts and purchase orders in INRS.
  • Generate purchase orders and ensure compliance with delegation of authority and associated quotes.
  • Approve OnBase invoices.
  • Update and maintain departmental cost spreadsheets.
  • Develop and manage additional departmental spreadsheets as needed.
  • Handle project performance inquiries and close out jobs.
  • Setup job tickets and associated cost codes in CGC.
  • Update and maintain customer portals with relevant information.
  • Enter backflow test results into the system.
  • Manage and update monthly labor hours for Safety.
  • Update and revie cost spreadsheets, ensuring accuracy and completeness.
  • Compare location reports and address discrepancies.
  • Email open ticket logs and ensure timely updates and communication.
  • Train new techs on all relevant systems.
  • Provide support for additional projects and tasks as needed including potential cross departmental collaboration.
  • Work with finance, Safety and Operations to ensure alignment and efficiency.
  • Support the Service Department with various administrative needs and backup coverage as required
