Are you a proactive and customer-focused individual with a passion for supporting students and academic staff? As a Student Reception and Administration Assistant, you will play a vital role in ensuring the seamless operation of our campus and student services. Acting as the first point of contact, you will provide professional front-of-house reception support, manage inquiries efficiently, and deliver essential administrative assistance.
This role is perfect for someone who enjoys interacting with students and is committed to enhancing the overall student experience. You will be instrumental in creating a welcoming and supportive atmosphere, helping to maintain a smooth and efficient service for both staff and students.

Responsibilities

KEY RESPONSIBILITIES:

  • Front Desk & Reception: Serve as the first point of contact, welcoming students, staff, visitors, and callers with professionalism and warmth. Handle inquiries efficiently, providing accurate information and directing individuals appropriately, whether in person or over the phone. Ensure the reception area remains tidy, organised, and well-managed.
  • Student Services Support: Provide administrative assistance across various student service functions, including assessment, extenuating circumstances, registration, timetabling, attendance monitoring, student records, and student feedback processes.
  • Student Guidance & Welfare: Offer proactive support by directing students to appropriate services such as student support, counselling, and ASDAC. Handle sensitive student concerns with discretion, escalating complex issues to the relevant departments while maintaining confidentiality.
  • Event Coordination: Assist in the planning, logistics, and on-site support for campus events, workshops, registration periods, welcome weeks, and seminars. Manage room bookings, oversee visitor arrangements, and liaise with vendors and contractors to ensure smooth event delivery.
  • Administrative Compliance & Process Improvement: Ensure all documentation and administrative processes comply with university policies and data protection regulations. Contribute to periodic reviews and updates of procedures to enhance service quality and efficiency.
  • Communications & Engagement: Assist in drafting newsletters, event announcements, and digital communications to keep students and academic staff informed and engaged.
  • Collaboration & Problem-Solving: Work closely with colleagues across the university to support seamless administrative operations and foster a cooperative working environment. Resolve routine issues independently, escalating more complex matters when needed.
  • Other Duties: Undertake any additional tasks appropriate to the grade of the role, contributing to the overall effectiveness of student and academic services.
