OVERVIEW OF ROLE:

UPMC Whitfield is seeking a dedicated and detail-oriented Theatre Materials Assistant to join our dynamic team. The successful candidate will be responsible for the management and organization of theatre stores, ensuring the efficient and accurate handling of medical supplies. This role requires a flexible, team-oriented individual with experience in a clinical setting.

PRIMARY DUTIES AND RESPONSIBILITIES:

Key Responsibilities:
Stock Management:
Ensure all empty bins are collected and returned to the main warehouse.
Accurately place replenished bins in designated store locations.
Take full ownership of stock once delivered by the warehouse team to the hospital.
Verify the accuracy and quality of incoming deliveries.
Inventory Control:
Using ERP systems (SAP BYD)
Maintain and update stock and inventory records meticulously on ERP.
Manage the labelling of bin locations and bins for new products.
Track and manage high-value items within the inventory system.
Communication and Coordination:
Act as the primary liaison between Clinical Nurse Managers (CNMs) and the warehouse team and suppliers.
Communicate purchasing requirements and product availability effectively to CNMs.
Collaborate with internal departments to locate missing packages, correct incorrect deliveries, and replace damaged products.
Support and Compliance:
Support the procurement department in standardizing policies and procedures.
Ensure compliance with hospital protocols and standards.
Qualifications:
Previous experience working in a clinical setting, preferably in a hospital environment.
IT Proficient
Strong organizational and time-management skills.
Excellent communication skills, both verbal and written.
Ability to work independently and as part of a team.
Detail-oriented with a strong focus on accuracy and quality.
Proficiency in inventory management systems and software.

Flexibility to adapt to changing priorities and demands.
Proactive and reliable with a strong sense of responsibility.
Ability to handle physical tasks, including lifting and moving stock.
