Responsibilities:

POSITION PURPOSE

The purpose of this role is to assist the department in managing the end of end administration processes from bidding to completion. The Administrator will proactively engage with the system integration design team, contractors, and installation team to provide administrative support as required.

RESPONSIBILITIES

Specific responsibilities

  • Provide administrative support and coordination to the SI department.
  • Devising and maintaining office systems, including data management and filing.
  • Engage with relevant parties to arrange travel, visas and accommodation for freelance / full-time labour.
  • Dealing with incoming emails, calls corresponding on behalf of the SI team.
  • Carrying out background research and presenting findings.
  • Producing documents, briefing papers, reports and presentations.
  • Assisting and preparing response to RFP’s.
  • Creating PO’s and submitting them to suppliers.
  • Working with suppliers, managing updating suppliers pricing.
  • Document control – managing – uploading documenters to client portholes / web servers.
  • Managing crew schedules / labour costs (per-project basis).
  • Organising and attending meetings with project teams, keeping notes / to-do lists for project managers to follow up.
  • Carrying out specific projects and research on suppliers / clients.
  • Assisting with project related P&L’s.
  • Making decisions and delegating work to others in the manager’s absence.
  • Being involved in decision-making processes.
  • Preparing and responding to PQQ.
  • Supporting projects teams on/off site.
  • Implement and supervise Standard Operating Procedures (SOPs).

General Responsibilities

  • Attend company and departmental meetings as required.
  • Deputise for other team members as necessary
  • Support the other CTME teams in collating documentation/data for bidding and marketing.
  • Maintain a freelance database of additional personnel.
  • Record keeping and general administrative duties as required.
  • Author and undertake training for company personnel and clients.
