SUMMARY

Account Governance and all the roles in support of governance, including Communications is core to our Success. Communication roles are laser focussed on all the contractual communication requirements of BGIS towards our accounts and on facilitating much of the on account and corporate support communications to keep our teammates and corporate support resources aware of key activities at the account. The role requires a deep and detailed understanding of the various sections of the account Master Service Agreement, Statement of Work and Schedules that articulate the expectations and obligations of BGIS and how Communications is key to us meeting those expectations. For success, this role must develop constructive relationships with the client. Finally, the role will need to understand the operational communications needs of all service delivery team members, in particular Facility Management and Project Managemen
This role will work in collaboration with all key BGIS departments to ensure full support of all activities and play a key role in our INTEGRATED approach to contract governance and communications.
The Communications Specialist is primarily responsible for managing and supporting the Account Relationship and Communications programs. The position requires a strategic approach and integration with the facility management, project delivery and other workstreams that are responsible for the delivery of services within the buildings. Program development requires a comprehensive understanding of commercial real estate and the role of Business Units within buildings. Operational expertise and strong communication skills are required to develop communication strategies at a Provincial, Regional or building level. The position is responsible for supporting a multitude of programs and priorities to ensure Occupant and Business Unit Satisfaction. Relationship development and management is key to this position. Expertise with all different communication mechanisms within the built environment is a requirement.

KNOWLEDGE & SKILLS

  • College Diploma/University Degree or equivalent in Communications, Journalism, English, Marketing or a related field
  • Superior writing and editing skills
  • Event Management/project management experience
  • Minimum of 3 years progressive experience working within a marketing and communications environment
  • Intermediate graphic design skills and familiarity with InDesign, Illustrator, Photoshop
  • Proficiency with PowerPoint
  • Ability to manage large, complex integrated communications programs and projects
  • Ability to juggle competing priorities and work well under tight timelines in a fast-paced environment
  • Solid understanding of communications principles and best practices
  • Excellent relationship-building, teamwork and collaborative skills
  • Facility Management experience considered an asset Excellent written and editing skills for both print and electronic communication tools
  • Strong interpersonal skills with the ability to work independently and within a team environment
  • Strong planning, project management and organizational skills
  • Superior Microsoft PowerPoint skills
  • Demonstrated ability to function efficiently under pressure with constantly changing priorities and deadlines

Responsibilities:

Role will maintain and implement a Communications Plan which will include:

  • Communication process in accordance with Incident Notification and Management Process;
  • Process and samples of day to day communications, routine and non-routine communications;
  • Process and samples of tenant communications;
  • Communication templates;
  • Communication protocols for each type of notification (operational, engagement, required notifications, etc.);
  • Protocols for external, third party, media or public communications;
  • Compliance with Applicable Law including the French Language Services Act ;
  • Engagement with Province Clients and Ministry Stakeholders; and
  • Asset Renewal and Client Works communications.
  • Executes various communication strategies and components at a Provincial, Regional, Business Unit and Building level.
  • Implements communication plans for new assets added to the contract.
  • Implements communications and advocacy programs, to foster sustainable practices with Business Units and Occupants.
  • Manages the creation of communications materials, such as handbooks, templates, notices and presentations that align and support client communications
