ORGANIZATIONAL SUMMARY:

The Department of Internal Medicine is the largest and most complex department in the Morsani College of Medicine with over 23 Divisions, Programs, Centers and Institutes. Total Human Resources in excess of 1,000 and an annual all-source budget of $143M.
The mission of the Department is to rank among the elite in the nation in the areas of education, research, and patient care. The Department provides education and training for a diverse group of medical students, residents, fellows and health personnel from USF and throughout the world. Highlights of our success include annual Board Pass rate of 100%, Resident Match Rate of 100%, Growth of residency and fellowship programs. The Department’s research activities are robust with basic science, clinical and translational science in a variety of subspecialties of internal medicine.

POSITION SUMMARY:

This position serves as the business manager for the Division of Cardiovascular Sciences in the Department of Internal Medicine. The position supports financial reporting and analysis, purchasing, accounts payable/receivable, journal entries and monthly reconciliations, budgetary development and management, operations management, charge capture and revenue optimization, and research administration.

SPECIAL SKILLS/TRAINING:

Robust experience in financial accounting and with software systems such as financial account software, Microsoft Office suite and advanced level experience in Microsoft Excel.

Responsibilities:

Financial Management: Ongoing management of day-to-day fiscal activities, including but not limited to: general ledger reviews, journal entry postings, and monthly reconciliations of financial accounts. Contract adherence and monthly invoicing, timesheet collection and submission, processing reimbursements, travel coordination, purchase orders, and vendor management. Monthly, quarterly, and annualized reporting requirements.
Research Administration: Supports Pre- and Post-Award activities for the Division of Cardiovascular Sciences. This may include grant proposal submission support, post-award management , grant writing and development, sponsored contract negotiation, research compliance, and sponsor reporting. Management of research funding including startup accounts, research initiative accounts, and Foundation monies.
Education: Aids with the allocations of education funding (EVU, E&G, and GME accounts) to faculty members in accordance with their annual course and program assignments. Aids with lease agreements, Professional service agreements, and payments to the GME common pay source for salary support of trainee lines.
Foundation: Aids with allocations of philanthropic monies in the USF Foundation and USF Research Foundation to meet and adhere to fund purpose. Aids with the compilation of Impact Reports, thank you letters, and endowed chair budget development and oversight. Aids with event coordination of philanthropic and alumni events.
Administrative: Aids with Human Resources with the onboarding of new faculty and staff. Aids with Search Committee minutes, Itinerary Development, and transport of recruitment candidates. Aids with Grand Rounds, Seminars, Faculty Meetings and hosted events by the Division (including holiday party and graduation). Aids with social media, website, and marketing materials.
