QUALIFICATIONS
- A minimum of 3+ years working experience in office coordination or legal support
- Legal industry experience is considered an asset (large firm experience preferred)
- In depth understanding of business and legal terminology
- Strong technical skills using Microsoft Office 365
- Experience working with 3E, iManage Desksite, DocuSign considered an asset
Responsibilities:
- Front desk reception duties, such as greeting clients/couriers, showing visitors to meeting rooms, answering Surrey general phone line and emails
- Ensuring the office common spaces, boardrooms and waiting areas are presentable, tidy and maintained/stocked throughout the day
- Coordinating boardroom bookings, boardroom/meeting space set up and clean up
- Office administrative tasks including photocopying, scanning, faxes, incoming and outgoing mail/courier coordination and managing supply stock and ordering as needed
- Banking assistance including general bank runs and urgent trust bank runs
- Billing assistance including entering lawyer time, preparing invoices, photocopying and mailing out invoices and sending out invoice reminders
- Providing overflow support to lawyers and legal assistants as needed
