Description:

QUALIFICATIONS:

  • Language Skills: Fluent in French and English. Additional languages are a plus.
  • Experience: Proven experience as a Personal Assistant or similar role in Dubai. Familiarity with the local business environment is essential.
  • Education: A bachelor’s degree is preferred. Relevant certifications in administration, IT, or project management will be considered an advantage.
  • IT Proficiency: Strong computer skills and proficiency in Microsoft Office Suite, Google Workspace, and other relevant software. Ability to adapt to new technologies quickly.
  • Interpersonal Skills: Excellent communication skills, both written and verbal. Ability to interact professionally with a diverse group of clients, staff, and external contacts.
  • Organizational Skills: Exceptional organizational and time-management skills. Ability to prioritize tasks and manage multiple projects simultaneously.
  • Discretion: High level of discretion and confidentiality. Ability to handle sensitive information with integrity.

Responsibilities:

KEY RESPONSIBILITIES:

  • Administrative Support: Handle day-to-day administrative tasks such as scheduling meetings, managing calendars, making travel arrangements, and preparing expense reports.
  • Communication Management: Serve as the primary point of contact between the executive and internal/external clients. This includes handling phone calls, emails, and correspondence in both French and English.
  • Document Preparation and Management: Draft, edit, and format documents including reports, presentations, and correspondence. Ensure that all documents are accurate and professionally presented.
  • Project Coordination: Assist with project management tasks, including planning, tracking progress, and coordinating with team members to ensure timely completion.
  • Technology and IT Support: Utilize advanced knowledge of IT and new technologies to improve office efficiency. Troubleshoot minor technology issues and provide assistance to the executive in using various software and online platforms.
  • Event Planning: Organize and coordinate events, meetings, and conferences, including logistics, guest lists, venue selection, and catering arrangements.
  • Personal Tasks: Manage a range of personal tasks for the executive as required. This may include running errands, booking personal appointments, or managing household staff.
