The Senior Administration Associate position provides administrative support to the functions within Research and Development / Global Drug Development department within the Regional Clinical Operations, Regional Delivery Lead (RDL) organization.
The Senior Administration Associate will perform highly diverse administrative and project-focused duties, which by nature of the position may involve high level contacts and exposure to confidential material necessitating the use of tact, diplomacy, discretion and judgment. The candidate must have proven skills that demonstrate ability to prioritize, pro-actively work independently and collaboratively with other administrative assistants/external partners by supporting business needs.

Responsibilities (include, but are not limited to ):

  • Proactively review schedules, events, and needs of manager/team, anticipates conflicts, problems and issues with appropriate timelines.
  • Maintain and organize office operations and procedures such as filing system, expense reports, requisition of supplies, and other administration services.
  • Prioritizes activities and takes prompt action based on an understanding of departmental objectives and business needs.
  • Adhere to T&E policies, including booking travel (domestic & international) and monthly reconciliation of business expenses.
  • Ensure manager’s preparedness for meetings (e.g., assemble meeting materials, assisting with PowerPoint presentations, & pre-reads)
  • Prioritize and complete support requests in a timely manner (i.e. conference attendance updates, issues with IT, systems, facilities, etc.)
  • Provide back-up administrative support as needed within the Regional Clinical Operations organization.
  • To accomplish highly diverse, time sensitive and often complex projects, activities and administrative tasks.
  • Departmental status reporting and updating of various SharePoint sites and other tracking documents.
  • Addresses correspondence, manages calendars, schedules meetings, conferences, and events, makes travel arrangements, maintains accurate departmental records, and on-boards & off-boards contractors and employees.
  • Process complex SOWs, contracts, and invoicing.

Qualifications, experience and competencies:

  • Demonstrate strong interpersonal skills and diplomacy in all levels of management.
  • P osition requires a highly experienced professional with experience working with/for senior level executives and large teams. Minimum of 5 years’ experience as a Sr. Project Coordinator and/or Executive Associate with BMS experience preferred.
  • Highly motivated, independent thinker with proven problem solving and analytical skills.
  • Detail oriented with excellent oral and written communication skills
  • Adapts easily to new learning situations, can establish priorities, is very proactive, reliable and accountable, and works with minimal supervision.
  • Ability to utilize technology effectively to support BMS systems and/or processes.
  • Must be highly proficient in SharePoint and various BMS systems (T&E, Workday, Requisitioning, Contract Mgmt, eSetup, Conf Room Scheduling and SAP) and other office tools (MS Office Suite, Calendar, eMail, MsTeams, OrgPlus, and audio/video conferencing).
  • Has strong organizational skills, pays close attention to detail and follow up and properly balances priorities and resources.
  • Maintains a positive attitude, a high level of productivity, and is adaptable to change.
