Responsibilities:
ABOUT THE ROLE
As a Team Assistant, you will work as part of a team to provide seamless day-to-day administration support to the Legal Team, and where required the Company Secretary team. Your responsibilities will be varied as you collaborate with internal stakeholders at all levels of the organisation to effectively coordinate a range of Board and team activities.
Specifically, this will include:
- Undertaking coordination and administration activities including meeting co-ordination Legal Team meetings and related activity, provide diary support to the Head of Legal (and to Chief Legal Officer and Special Counsel as required)
- Attending meetings with members of the Legal Team and taking minutes and actions if required
- Providing support and coordination with respect to invoicing arrangements including the processing of invoices, liaising with stakeholders and appropriate record management
- Providing travel management coordination and support to the Legal Team
- Preparation of material to support the Legal Team
- Preparation of process flows
- Providing administration support to the Head of Legal and, as required, Chief Legal Officer
- Assisting with process improvement projects and initiatives as required
- Assisting with the development and management of registers as required
- Maintaining a schedule of regular reporting, ensuring that all contributors are aware of development time schedules and proactively manage delivery
- Organising, planning, managing and progressing work in an autonomous manner whilst working collaboratively within a small team.
To be considered for this multi-faceted and fast-paced role, you’ll demonstrate:
- Solid experience in a similar role providing high level administrative support for Executives including diary, travel, and event management
- Well-developed written and verbal communication skills with an ability to coordinate and develop meeting papers, proposals and reports
- High level of motivation and ability to multitask and manage multiple projects, priorities and stakeholders concurrently
- Intermediate to Advanced level of experience in PowerPoint, Microsoft Word, Excel and Outlook plus Microsoft Teams and WebE
