Executive Assistant to Superintendent of Education
Location: Catholic Education Centre
Start Date: October 2025
Salary: $62,139- $77,936
The Executive Assistant to the Superintendent of Education provides comprehensive administrative support to the Superintendent of Education and the Instructional Services Coordinators. This role is integral to coordinating travel arrangements for system staff through the Professional Development Forms process and plays a key part in promoting a professional, service-oriented image of the Board within the Catholic Education Centre and the broader community.

QUALIFICATIONS:

  • High School Diploma or equivalent, with at least 3 years of relevant experience in an administrative role
  • Proven initiative, strong interpersonal skills, and effective communication abilities
  • Exceptional organizational skills with the ability to manage priorities and meet tight deadlines
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Adobe, and PowerPoint) and general computer applications
  • Strong research and problem-solving capabilities are considered an asset
  • Detail-oriented with demonstrated experience in task and project management
  • Ability to exercise sound judgement, discretion, and professionalism in interactions with internal and external stakeholders
  • Excellent time management skills and the ability to manage competing priorities effectively
Responsibilities
  • Prepare and manage professional development forms for system staff attending conferences or meetings
  • Coordinate travel arrangements, including booking accommodations and flights and communicating itineraries
  • Maintain an organized and efficient filing system
  • Provide administrative support to the Special Education Advisory Committee (SEAC), Catholic Parent Involvement Committee (CPIC), and the First Nation, Métis, Inuit Advisory Committee (FNMI) including composing, transcribing, and distributing agendas, minutes, correspondence and reports.
  • Assist in planning and organizing meetings (including CEC staff meetings), conference and teleconferences
  • Reconcile monthly corporate credit card statements
  • Operate office equipment and utilize software applications for word processing, spreadsheets, databases and presentations
  • Conduct annual reviews or procedures and forms for the Superintendent of Education
  • Manage scheduling and maintaining the Board activities calendar
  • Respond to inquiries promptly and professionally via phone, email or in person
  • Support the identification and fulfillment of Ministry and Board Project Agreements (TPON), including tracking deadlines and targets
  • Assist in data collection and reporting for Ministry and Board Project agreements and the Reciprocal Education Approach (REA)
  • Maintain and update the Instructional Services department webpage on the Board website
  • Organize and coordinate the Catholic Education Centre Year-End Celebration and the KCDSB Retirement and Service Awards
