JOB TITLE: 3PL Inventory & Fulfillment Co-Ordinator
REPORTS TO: Senior Director Operations & Logistics
MAIN RESPONSABILITIES
· Serves as the main point of contact between the Corporate offices & 3PL Partner (UPS-SCS) coordinating Wholesale logistics operations related to Monthly Inbound & Outbound Flow, Quality Assurance, and Inventory Control
· Prepare (FY) and update (Monthly) Wholesale Unit Inbound & Outbound Forecast for 3PL acknowledgment, communicating daily / weekly with Operations and Allocation analyst to ensure outbound targets are being met
· Prepare (FY) and update (quarterly) Wholesale Logistics Budget / Forecast costs for Operations & Finance, providing detailed explanations on variances
· Monthly analysis and approval of Wholesale SCS fixed & variable fee invoices, including detailed explanations of variances to the prepared budget / forecast related to Variable charges (cost per unit, Adhoc charges etc.)
· Provide Finance with monthly reporting on blocked stock, POD verification, 3PL Variable Logs and any other requests needed for period closing
· Weekly analysis and approval of Wholesale small parcel freight invoicing
· Perform required Monthly & Quarterly Wholesale inventory reconciliations
· Execute and manage all Quality Assurance requests, including inventory reconciliation by disposition and gathering of results documentation to be shared with Operations, Merchandising and Finance
· Daily monitoring of Wholesale Outbound Query Reports (Deliveries) including managing outbound flow expectations with 3PL Operations, analyzing Status change trends against committed forecasts and ensuring Routing / VAS requirements are being adhered to
· Daily Monitoring of Wholesale Inbound schedule, including tracking and ETAs, working with Inbound carriers on trouble shooting issues and delays, approving costs related to Toronto Terminal & empty container returns. Facilitate flow schedule with 3PL Inbound Operations and Inventory Analyst on a daily/weekly basis.
· Coordinate with CSR for Account communication on approvals and extensions related to traffic/trucking/warehouse issues, missing packing slips or documentation etc.
· Coordinate with Credit, CSR & Allocation Analyst on all Adhoc requests including Rush Orders, HOLD orders, cancellations etc.
· Monitor, trouble shoot and correct all failed transmissions (iDocs) between SAP and Germany / 3PL systems related to Inbound (ASNs), Outbound (Deliveries) and all Inventory Movements (cycle counts & disposition movements) for both Wholesale and Digital divisions
· Monitor, Reconcile and approve all Wholesale Cycle Count adjustments and coordinate with 3PL Inventory Manager to perform in depth investigations on threshold variances
· Process and coordinate Inventory Transfers between Wholesale and Digital divisions including Order / PO reconciliation and reporting to Finance
· Coordinate FYE Physical Inventory with 3PL & Finance (Auditors) including schedule timeline, blackout dates, pick/pack completion expectations, pre-reconciliations & adjustments and final reconciliation
· Organize and lead daily / weekly 3PL Operation Meetings related to Inbound, Outbound and Inventory
· Initiate, process and track all Wholesale lost & short shipments with UPS Preferred services
· Investigate and provide backup related to reported Freight overcharges for CSR and Credit inquiries
· Table maintenance in SAP system for third party billing (SCAC/ship via) and 3PL Customer Master Data creation and maintenance requests
· Organize and maintain all Customer Routing Guides including access / communication to 3PL Operations
· Request and manage VAS approvals and waivers with Customer Vendor Relations, maintain approval database
· Monitor updates to vendor documents, including packaging & ticketing standards, routing and shipping instructions. Ensure all updates are properly communicated to 3PL Operations and documentation is available for their access
· Create and maintain job aids to highlight important reminders and processes for 3PL (VAS Matrix)
· Manage the Value-Added Services (VAS) supply procurement from third party vendors (Vendor Ticketing Labels, French Language labels etc.)
· Investigate all VAS compliance chargebacks, provide Credit team with back up for disputes and identify valid charges to be billed back to 3PL due to processing errors. Take corrective measures with 3PL Operations to ensure mistakes are corrected
· Coordinate with 3PL and SAP IT on all EDI onboarding including Customer approvals on all custom developed labeling requirements (UCC128)
· Performs other duties as assigned – including but not limited to: Sample sorting / storage, preparing office shipments, communicating tracking on Adhoc shipments, assist other departments during peak seasons etc.
KEY SKILLS REQUIRED
· Proficient in Excel (ability to manage large sets of data, work with pivot tables, use VLOOKUP), and other Microsoft office programs (Word, Outlook)
· Strong analytical skills with the ability to collect, organize, analyze, and disseminate information with attention to detail and accuracy
· Good judgment and discretion; ability to handle multiple priorities simultaneously, meet deadlines, and handle work-related stress is required
· Effective communications skills across all functions and levels of personnel
· Works well in a fast-paced environment with demanding situations
· Self-motivated, proactive and solution oriented.
· Be able to lift at least 30lbs or more
POSITION REQUIREMENTS/QUALIFICATIONS
· Three or more years of 3PL Operations related support (customer service, supply chain, inventory management, buying office, import/export, and logistics)
· SAP ERP experience required
· Ability to travel and be available some evenings and weekends
· Able to work in person at Corporate offices located in Brossard, Qc
