POSITION SUMMARY
Program Overview
The 49ers STEM Leadership Institute (SLI), created in partnership with the San Francisco 49ers, the Silicon Valley Education Foundation (SVEF), and the Santa Clara Unified School District (SCUSD), is a six-year program that will prepare students with high academic potential to be outstanding. SLI began in Summer 2014 with a cohort of 60 incoming seventh-grade students. A new cohort of 60 incoming seventh graders is selected through a competitive application process each year, and students advance with their cohort to the next grade level. By the end of the six-year rollout process, there will be a total of 360 students from grades 7 – 12 involved in the program, located at two state-of-the-art digital fabrication labs at Cabrillo Middle School and Santa Clara High School in the Santa Clara Unified School District. Students complete a rigorous college preparatory curriculum, engage in STEM projects and competitions, and participate annually in 300+ hours of additional learning time.
Position Overview
The Program Coordinator plays a key role in managing the day-to-day operations and long-term
projects of the 49ers STEM Leadership Institute (SLI), including admissions, data systems, instructional
support, communications, project management, and administrative coordination. This role is ideal for a
highly organized, detail-oriented professional who thrives in a fast-paced, innovative educational setting
and enjoys working with both systems and students.
REQUIRED QUALIFICATIONS:
Strong administrative, clerical, and documentation skills
Excellent organizational and project management abilities
Proficient in Microsoft Excel, Google Sheets, and related data tools
Experience with survey tools, data visualization, and report generation
Familiarity with tools such as FormAssembly, Formstack, SurveyMonkey, Salesforce for Education, and Student Information Systems
Ability to manage multiple projects independently and meet deadlines
Experience coordinating events and managing educational data systems
Comfortable working with youth in educational or enrichment settings
Professional discretion in handling sensitive student and program data
Proficiency with Google Workspace, Google Classroom, and basic web content editors
Background in STEM education, youth programming, or nonprofit environments

MAJOR DUTIES & RESPONSIBILITIES
Core Projects & Responsibilities
Admissions & Recruitment
Goal: Oversee a transparent, inclusive, and effective admissions process for students in grades 6–10.
Lead and manage the entire admissions cycle from September to April for new and transfer applicants, coordinating all stages of the admissions process.
Create an annual admissions calendar and manage timelines for outreach, applications, interviews, selection, and onboarding.
Manage and maintain accurate admissions records (students data, application materials).
Partner with teachers to align student selection criteria with program goals and priorities.
Communicate regularly with families, counselors, and district staff.
Support student recruitment efforts through info sessions, outreach events, and promotional materials.
Communications & Outreach
Goal: Increase program visibility and community engagement through strong communications and
partnerships.
Coordinate with SCUSD communications staff on admissions and program announcements.
Contribute to newsletters, email campaigns, and website updates.
Organize outreach events and counselor briefings at feeder middle schools.
Facilitate visits and partnerships with industry professionals, postsecondary institutions, and STEM organizations.
Data & Systems Management
Goal: Maintain and analyze accurate student and program data for continuous improvement, reporting,
and compliance.
KEY RESPONSIBILITIES:
Develop and maintain data collection calendars and tracking systems.
Monitor and clean data related to attendance, grades, demographics, and enrollment.
Design and update internal dashboards and external reports for leadership and funders.
Manage student, parent, and staff surveys and compile actionable insights.
Prepare data for compliance and reporting to stakeholders.
Execute mail merges and maintain contact directories.
Serve as the main contact for supporting directors and program managers with data-related needs.
Program Operations & Event Management
Goal: Provide support for events and internal program systems.
Provide on-site and behind-the-scenes support for event needs (including some weekends).
Administrative & Project Management
Goal: Strengthen overall program efficiency through streamlined operations and clear project execution.
Lead and support internal project planning meetings, agendas, and documentation.
Track deliverables across program initiatives and adjust timelines as needed.
Manage files, forms, records, and workflows for both digital and physical documentation.
Support calendar coordination, scheduling, and cross-functional communications
Student Supervision & Instructional Support
Goal: Support student learning and enrichment.
Supervise students during Extended Hours, events, and field trips
Assist with project-based lessons, labs, and makerspace activities
