JOB SUMMARY

The Program Coordinator under the direction of the Director of Academic Affairs and a member of the Academic Affairs Curriculum Support Team, is responsible for working with Faculty members and the Senior Program Coordinators to manage the implementation and operational activities of the UT Tyler School of Medicine’s educational program.
The Academic Affairs Program coordinator, working together with the Senior Coordinator and Faculty of phase 1,2, and 3 provides support for the coordination, scheduling, and support of Phase 1, 2, and 3 courses and course components for the medical education program, including: Teaching Outstanding Physician Skills (TOPS), Interprofessional Education (IPE), Population Health and System Sciences (PHSS), Case-Based Learning (CBL), and Structure Lab for the Scientific Foundations courses The coordinator will be responsible for assisting in all three phases of the curriculum, as needed.
This position will occasionally work some after-hours or weekends.

REQUIRED EDUCATION/EXPERIENCE

  • Associate degree in healthcare administration, business management or related field.
  • Three (3) years’ experience managing or coordinating pre-clerkship education for a medical school or similar educational program.
  • A combination of education and experience may be accepted.

PREFERRED EDUCATION / EXPERIENCE

  • Bachelor’s degree is preferred.

CLINICAL POSITION REQUIREMENTS

Clinical positions may be required to complete a pre-employment health screening, following a contingent job offer, to determine whether they possess the physical capabilities needed to safely fulfill the specific demands of the position. Responsibilities
  • Work with medical school departments and faculty to meet the educational needs of program learners through collaborative development and implementation of programmatic activities, which may include program competencies, curriculum, quizzes and exams.
  • Coordinate the scheduling and logistics of all Phase 3 clerkship rotations and ensure timely communication with students, faculty, and clinical sites.
  • Provide administrative and clerical support to supervisors, faculty and staff to accomplish the day-to-day operational needs of the Academic Affairs Curriculum Support Team.
  • Maintain program files and data, including individual learner files as well as program accreditation documentation in accordance with relevant regulatory and University policies.
  • Collaborate with program faculty and leadership to develop learner assessment documentation, including assessment tools and assessment strategies and timelines to ensure compliance with deadlines.
  • Update and maintain educational program communication resources, which may include maintaining the curricular management website/program to ensure updated information and program requirements.
  • Generate informational brochures.
  • Creating and updating programs or course syllabi and schedules.
  • Assist with journal submissions.
  • Managing program marketing and collateral production and maintaining email and address lists.
  • Contribute to ongoing continuous quality improvement activities related to the educational program.
  • Monitor learner files as well as program documentation and policy to ensure compliance with established and evolving standards.
  • Liaise between program and departmental administration and University stakeholders.
  • Other duties as assigned.
