Description:
This is a contract position for one (1) year with the possibility of extension or conversion to career via open recruitment or waiver process and is designed to provide the opportunity to learn the full scope of University academic personnel in a variety of environments. The Academic Personnel Coordinator will receive initial training from the central College Academic Personnel Office and rotate through a variety of academic departments within South Campus (Life Sciences and Physical Sciences Divisions). The rotation through departments will be chosen for training and career growth and will be closely monitored by the Assistant Dean of Academic Personnel & Operations and the Manager of Academic Personnel for the College. Under close supervision, the incumbent will: work on assigned cases; projects; understanding and interpreting collective bargaining agreements; understanding the Academic Personnel Manual; and successfully complete appropriate training courses offered through Campus Human Resources. The incumbent will review and analyze dossiers for completeness and adherence to policy, update and maintain the Academic Personnel Database, compile faculty academic activities, honors, teaching and research information to update dossiers; maintain records of search committee decisions, participate in meetings, and gather information needed to carry out academic personnel policies in accordance with departmental goals. The selected candidate will gain valuable skills to be competitive for future career opportunities at UCLA.
QUALIFICATIONS
- Proficiency using MS Word, Excel, and Outlook (Required)
- Ability to prioritize job functions to meet deadlines, ensure smooth workflow and handle multiple tasks simultaneously and with equanimity (Required)
- Ability to compose, edit and proofread materials using proper grammar, syntax and punctuation (Required)
- Ability to communicate clearly and effectively (Required)
- Ability to maintain strict confidentiality and act on sensitive issues with tact and diplomacy (Required)
- Ability to establish and maintain cooperative working relationships with coworkers, faculty, all levels of campus and University administration and the general public (Required)
- Demonstrated analytical skills to review detailed work for critical inaccuracies (Required)
EDUCATION, LICENSES, CERTIFICATIONS & PERSONAL AFFILIATIONS
- Bachelor’s Degree in related area and / or equivalent experience/training (Required)
