ACADEMIC OPERATIONS AND ANALYTICS MANAGER

Department: Office of the Chief Academic Officer/Vice President for Digital Transformation
Hours: 40 hours per week
Status: Full-time, exempt
Work Mode: Hybrid (combination of Pasadena campus and remote)
Reports to: Chief Academic Officer/Vice President of Digital Transformation

POSITION SUMMARY:

Provides administrative direction and operational management of faculty contracts, advancement, academic budgets, and data analytics for Fuller Theological Seminary. Ensures alignment of academic systems and institutional success initiatives with institutional goals through the implementation and management of technology infrastructure and data-driven solutions. Reports to the CAO/VPDT.

Responsibilities
  • Coordinate budget processes for the CAO/VPDT Office in collaboration with the VPDT, including overseeing accounts payable, current and fiscal year forecasting, and reconciling with the general ledger.
  • Support the CAO/VPDT with financial analysis, modeling, reports, and advice regarding the financial implications of expenditures, ongoing strategic planning, and program changes and development.
  • Assist the CAO/VPDT, Deans, program directors, and academic administrative personnel with resource management and planning to achieve short and long-term objectives.
  • Oversee and manage faculty appointment, merit review, and contract renewal processes, including the calculation of workload, salary, and compliance with all relevant Seminary, federal, and state requirements.
  • Work in collaboration with the Deans to prepare annual personnel and operating budgets for each school.
  • Partner with Deans and personnel in appropriate campus offices to develop a deep understanding of funding sources and uses within the department. Monitor budgets closely and meet with key contacts regularly to review finances and perform continuous budget planning. Use appropriate systems and electronic tools to acquire data.
  • Recommend operational efficiencies and improvements at all levels of fiscal operations within academic affairs.
  • Ensure the program’s financial activities are carried out in accordance with established policies and procedures. Recommend corrective and/or preventative solutions.
  • Work in close partnership with the Finance Office on all academic area financial matters, annual budgeting, and ensuring internal controls.
  • Partner with other departments to develop metrics that inform the CAO/VPDT and deans regarding resource allocation and budget planning.
  • Provide strategic financial counsel and direction to the CAO/VPDT and Chief of Human Resources related to assessing structure and strategies to support academic leadership, core faculty, contributing faculty, and support staff. This includes but is not limited to coordinating on appropriate compensation packages, succession planning, retention plans, developing compensation model changes and strategies, salary increase options, adjustments, and merit.
  • Work with the Office of Development on all donor or grant-related business matters.
  • Work in close partnership with the Office of Human Resources on all faculty and academic staff employment matters.
