POSITION SPECIFICS

The Accounting Department in the Smeal College of Business at The Pennsylvania State University (University Park) is seeking qualified candidates for an Academic Program Coordinator (Intermediate Support) position. This role serves as the primary administrative support for the department’s front desk operations, facilitating academic services for over 4,000 students and more than 50 faculty, staff, and Ph.D. students. The successful candidate will submit a resume and cover letter and must meet the minimum requirements. Responsibilities include, but are not limited to:

  • Provide comprehensive communication support to faculty, staff, advisers, parents, and students regarding individual courses, degree requirements, and academic program inquiries while maintaining strict adherence to FERPA and University policies
  • Prepare and maintain accurate student files, monitor graduation requirements, conduct degree audits, and ensure compliance with degree completion standards
  • Manage academic modifications, including grade change forms, course registrations, drops, and program transfers
  • Oversee examination logistics, including makeup exam administration and scheduling
  • Collaborate with faculty and department leadership to retrieve, compile, and analyze course data
  • Assign classrooms based on course and instructor requirements
  • Monitor and respond to course availability and enrollment inquiries
  • Administer student evaluation surveys and manage the feedback collection processes
  • Process departmental purchases and reconciliation, including textbooks, office supplies, and travel arrangements
  • Implement policies, procedures, and activities pertaining to student records across a department or assigned academic program
  • Process scholarship, assistantship, and fellowship data and funds; prepare award letters, notify donors, monitor expenses, prepare and analyze financial reports
  • Communicate with students to promote program-specific opportunities, including workshops, organizations, internships, and career development opportunities; collaborate with faculty and program staff to develop marketing materials
  • Plan and facilitate departmental events, including orientations, recruiting visits, open houses, colloquiums, graduation receptions, and committee meetings; manage event logistics, including venues, invitations, and itineraries
  • Create and maintain databases; compile academic data and prepare reports for department leadership related to enrollment data, student progress and experience, and accreditation information
  • Coordinate the hiring, onboarding, and training for part-time employees and teaching assistants

This position will need to communicate with faculty and other department staff, as well as college/University partners. Confidentiality and integrity of course data and student records are a central aspect of the job. Experience with Office 365, Canvas, LionPATH, 25 Live, eSteward, SAP Concur, PSUBuy, and Workday is preferred. This is a full-time, non-exempt position, Monday through Friday, 8:00 a.m. - 5:00 p.m., with some evening commitments and the opportunity for flexible scheduling.

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

General Equivalency Diploma (GED) or High School (HS) 2+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None
