Job Summary


The Registrar’s Office oversees academic scheduling and timetable operations that support course delivery across the university. Reporting to the Assistant Registrar, Timetable and Academic Scheduling Systems, the Academic Timetable and Scheduling Coordinator manages the University’s academic timetable and provides expertise in scheduling, classroom utilization, and space planning.


Key Responsibilities


  • Manage the creation of the University’s academic schedule which includes negotiating with over 80 departments to ensure that their approximately 9,000 lectures, labs and tutorials are appropriately scheduled.
  • Act as the primary institutional resource regarding classroom options and process details for booking both common pool and locally managed classrooms for the Registrar’s Office Timetable and Scheduling Systems team, as well as faculty and departmental administrators.
  • Responsible for conflict resolution for the University’s academic schedule – primary contact for departmental administrators and professors when scheduling conflicts occur.
  • External training of departmental administrators and/or faculty members on the preparation and submission of academic scheduling details by creating and maintaining a training program for departmental academic schedulers.
  • Internal training and general administrative duties including training other members of the Timetable team, maintaining training support documentation, supporting the maintenance of the University’s Timetable and Scheduling Systems’ operational needs.
  • Maintain a thorough knowledge of all University policies and procedures pertaining to scheduling, as well as a thorough technical aptitude in all scheduling software used by the University (lnfoSilem EnCampus Suite, lnfoSilem EnCampus Enterprise, and Banner Production).
