We’ve got a fantastic opportunity to join our motorsports team at Octagon working for a prominent client within Formula 1. The role will support the wider account team as we deliver VIP experiences at the Ferrari Factory in Maranello.

Responsibilities

Supporting the account team in management and administration of the client’s programmes, with a focus on guest programme planning, supplier coordination, asset and guest management, financial administration and on-site event delivery (when required) throughout the year.

  • Account administration support, including ownership of status documents, client reporting, programme logistics and asset management
  • Development of market communications documents, newsletters, and activation toolkits
  • Supporting the creation and distribution of guest communications, collateral, and gifting
  • Research, coordination, and management of event suppliers (from branding to hotel and transport)
  • Management of guest information via a bespoke guest management system
  • Creation and coordination of rooming lists, guest itineraries and guest briefing packs
  • Financial account support (Invoicing, supplier payments, PO creation and tracking)
  • Provision of industry knowledge (Motorsport, sport sponsorship, and the entertainment industry)
  • Handling and communication of guest information updates (Transportation, Hotel, F&B, etc.)
  • Support in planning and managing global hospitality programmes remotely and on-site
  • On-site event delivery including guest liaison, supplier management and team support
  • Post event reporting
  • Collaboration across multiple departments including studio, creative, legal, production and finance
  • Turning your hand to support the team deliver whichever motorsport event is coming up, doing it with a smile and learning on the way!
  • There will be requirements for international travel to deliver programmes as and when required.
