Job Summary: The Accounting Executive provides essential support to both administrative and accounting departments. This position involves a mix of office management tasks, accounting support, and ensuring smooth day-to-day operations. The ideal candidate will have strong organizational skills, attention to detail, and a basic understanding of accounting principles. Key Responsibilities: Administrative Support: Answer and direct phone calls and emails. Assist with scheduling and coordinating meetings, appointments, and travel arrangements. Maintain and update office files, records, and databases. Prepare and organize documentation and correspondence for meetings and reports. Provide general office support, including photocopying, scanning, and filing. Coordinate office supplies and manage inventory. Accounting Support: Assist with processing invoices and payments, ensuring accuracy and timely processing. Help maintain financial records, including accounts payable and receivable. Prepare and reconcile bank statements and assist with monthly reconciliations. Assist in preparing financial reports and statements. Help track expenses and assist with budgeting. Support the accounting team with general bookkeeping tasks. Additional Responsibilities: Assist in maintaining accurate and up-to-date financial records in accounting software. Provide administrative support for internal and external audits. Respond to inquiries from employees and clients related to billing, accounts, or office procedures. Perform other duties as assigned by the supervisor or manager. Qualifications: High school diploma or equivalent (Associate’s degree in accounting or related field preferred). Proven experience in an administrative or accounting assistant role (1-2 years preferred). Basic knowledge of accounting principles and financial recordkeeping. Proficiency with Microsoft Office Suite (Excel, Word, Outlook). Experience with accounting software (QuickBooks, Xero, etc.) is a plus. Strong organizational and time management skills with the ability to prioritize tasks. Excellent attention to detail and accuracy. Strong written and verbal communication skills. Ability to work independently and as part of a team. Skills: Strong attention to detail and accuracy in data entry and financial record-keeping. Ability to manage multiple tasks simultaneously and meet deadlines. Strong organizational and time-management abilities. Ability to handle confidential and sensitive information with discretion. Work Environment: Office-based environment. Regular business hours with occasional overtime, depending on workload
