Position Summary The Account Manager serves as a critical point of contact between Richmond Wholesale and its valued customers. This role ensures the smooth execution of the order lifecycle—from receipt through fulfillment—while building strong relationships across internal departments including Logistics, Purchasing, and Operations. This position demands a self-starter with excellent communication skills, a high attention to detail, and the ability to influence outcomes without direct authority. The ideal candidate thrives in a fast-paced environment, balances multiple priorities with grace, and takes a proactive, solution-oriented approach to resolving issues and improving processes. Key Responsibilities Order and Account Management · Accurately enter new customer orders into xTuple within 24 hours of receipt, ensuring alignment with customer requirements and delivery schedules. · Maintain active visibility over all active orders by updating the Shipment Board and Asana project management tools. · Manage container creation and coordination for shipments, including Coastal Pacific accounts (when applicable) via DSS system. Customer Service & Internal Collaboration · Respond promptly and professionally to inquiries from customers, sales teams, logistics, and other stakeholders. · Monitor and follow up daily on open issues to maintain a target 100% fill rate across all customer accounts. · Maintain 99%+ data accuracy on customer files, ensuring up-to-date information is reflected in all relevant systems. Issue Resolution & Process Improvement · Identify and resolve order-related or data issues with urgency and professionalism. · Escalate critical concerns in a timely manner while offering solutions that prevent recurrence. · Collaborate across departments to identify and implement improvements in order processing, communication, or customer experience. Cross-Training and Coverage · Provide back-up support for fellow Account Managers as needed to ensure consistent service levels. · Attend cross-functional meetings as required and actively contribute to operational problem-solving and workflow enhancements. Compliance & Conduct · Uphold Richmond Wholesale’s employment policies and compliance requirements, including all federal, state, and industry-specific regulations. · Contribute positively to a collaborative, respectful, and mission-aligned workplace culture.
