Job Responsibilities Accounts Payable Specialist I Summary The Accounts Payable Analyst performs accounts payable processes and operating procedures to ensure the accurate, timely, and complete processing of all accounts payable transactions. This role is responsible for proper general ledger coding and supports compliance with internal controls and accounting standards. Essential Functions Enforces company policies and procedures related to accounts payable, purchasing, travel, and entertainment expenses. Ensures all payments include proper approvals and accurate account coding. Audits and approves employee expense reports, requesting corrections when necessary. Sorts and distributes incoming mail, including items received through shared mailboxes. Prioritizes invoice processing based on cash discount opportunities and payment terms. Processes manual check requests in accordance with established procedures. Matches invoices to checks and ensures proper distribution of issued payments. Responds to inquiries from vendors, auditors, and internal stakeholders in a timely and professional manner. Reconciles vendor statements; researches and resolves discrepancies as needed. Assists with month‑end close activities related to accounts payable. Maintains accurate and complete files and documentation in compliance with company policy and accepted accounting practices. Complies with process controls and documented narratives to meet Sarbanes‑Oxley (SOX) internal control objectives. Identifies and escalates discrepancies between documented procedures and current practices to ensure updates are made as appropriate. Qualifications – External Requirements Bachelor’s degree in Accounting preferred, with basic accounting experience; prior experience in a CRO or pharmaceutical environment is preferred. Working knowledge of accounts payable processes and techniques. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), voicemail systems, and accounting software; Oracle Financials experience preferred. Strong organizational and prioritization skills, with the ability to meet deadlines in a fast‑paced environment. Effective presentation, documentation, and interpersonal skills with a collaborative, team‑oriented mindset. Ability to communicate clearly and professionally with internal and external partners and resolve issues diplomatically. Demonstrates strong work ethic, professionalism, reliability, problem‑solving, analytical thinking, and multitasking capabilities. Workable proficiency in both Japanese and English.
