Description PURPOSE: The Payroll Specialist oversees the payroll function to ensure accurate and timely processing for all employees. This role acts as the subject-matter expert for payroll operations, coordinates workflow for payroll staff, ensures legal compliance and partners with HR and Finance to support organizational goals. The Lead Payroll Specialist also handles complex payroll issues and system administration tasks. POSITION TYPE: Monday-Friday (onsite): 8:30am to 5pm KEY RESPONSBILITIES: Take full ownership of department duties, including responding promptly to all calls and research requests. Accurately reconcile labor hours to ensure timely and correct payroll submission. Analyze payroll and operational reports (e.g., Paylocity) for accuracy and reasonableness. Communicate effectively with team members, management and other departments. Proactively identify issues and implement solutions with minimal supervision. ESSENTIAL FUNCTIONS: Payroll Operations & Oversight · Manage end-to-end payroll processing for multi-state or multi-locations environments · Review and approve payroll runs prepared by payroll team members · Ensure accurate calculation of wages, overtime, special pay, deductions and benefits · Audit payroll reports and reconcile discrepancies before submitting final payroll · Record Payroll, vacation/sick, workers compensation journal entries · Lead workers comp audit and 401k audit Leadership & Support · Provide guidance, training and day-to-day direction to payroll specialists · Assign tasks, monitor workload and maintain payroll processing schedules · Serve as the primary point of escalation for complex payroll questions and issues Compliance & Reporting · Ensure payroll processes comply with federal, state and local regulations (FLSA, tax laws, wage garnishments) · Maintain up-to-date knowledge of payroll legislation and communicate changes to the team · Support annual and quarterly tax filings and coordinate W-2/1099 processing · Prepare and analyze payroll reports for management and auditors Systems & Process Improvement · Administer payroll/HRIS systems (e.g., Paylocity) · Lead payroll system upgrades, testing and process enhancements · Identify opportunities to improve accuracy, efficiency and internal controls Cross-Functional Collaboration · Work closely with HR, Benefits and Finance on compensation changes, benefit deductions and accounting reconciliations · Support budgeting and financial reporting related to payroll expenses · Performs other duties as assigned
