Position Overview
We are seeking a highly skilled and detail-oriented accountant / opportunities specialist to run the day-to-day finance and record-keeping functions, manage budgeting, track grant expenses, and assist with the grant application and reporting processes. The ideal candidate will have hands-on experience with QuickBooks Online and expertise in full-cycle accounting, financial reporting, the grant application and reporting process, and budget preparation with a strong analytical mindset and a collaborative approach.
Key Responsibilities
· Financial Operations: Oversee daily accounting and related tasks, including accounts payable, accounts receivable, payroll, and other duties as needed. Ensure proper approval for expenditures is received and recorded.
· Financial Reporting: Prepare accurate monthly, quarterly, and annual financial reports, ensuring information integrity and timeliness. Familiarity with US GAAP a plus.
· Grant Process: Track and manage financial reporting and compliance for all active grants, ensuring accurate allocation and use of funds, budget and spend analysis. Assist with application process preparing budget and writing of relevant portions. Tracking reporting frequency, stacking limitations, and in-kind commitments.
· Tax Filings: Work with external accountant to prepare and manage all federal, provincial, and local tax filings to ensure timely compliance. Experience with SR&ED and associated returns, and US sales and corporate tax filings a plus. Prepare and file payroll, HST, and WSIB returns.
· Relationship management: Manage relationships with external service providers such as accountants, suppliers, vendors, and grant funders.
· Process Improvement: Continuously improve financial procedures, implement effective internal controls and tools to optimize financial processes.
· Bookkeeping: Maintain financial records in QuickBooks Online for efficient tracking, recording, and reporting of all financial transactions, as well as integration with other financial tools, and organization of supporting documentation.
Qualifications
· College Diploma or bachelor’s degree in accounting, Finance, or a related field (CPA or CMA designation is a plus).
· Minimum of 3-5 years of experience in accounting or financial management, with hands-on experience in QuickBooks Online.
· Understanding of GAAP, ASPE, relevant tax regulations, and other accounting standards. Experience in US and cross-border accounting and taxation a plus.
· Experience in grant application, budget creation, tracking, and reporting process.
· Excellent analytical skills, attention to detail, and the ability to manage multiple responsibilities.
· Strong communication skills and a collaborative work style.
